Job description

We are looking for a technically sharp and operationally minded Senior IT & Systems Manager to own our firm's technology ecosystem across all global offices. This role is the bridge between our people and the tools they use every day - ensuring every software platform is deployed, adopted, maintained, and secured across a multi-regional organization. You will be the go-to leader for technology infrastructure, software onboarding, systems health, and cybersecurity compliance firmwide.
Software Integration & User Onboarding
  • Lead the evaluation, implementation, and integration of all firm-wide software platforms and collaboration tools
  • Design and deliver onboarding programs that get new users up and running quickly on all systems across all offices and time zones
  • Serve as the primary point of contact for software vendors, managing licenses, contracts, renewals, and support escalations
  • Build and maintain user guides, training materials, and internal documentation for all platforms
  • Partner with department leads to identify technology gaps and recommend solutions that improve workflow and productivity

Systems Maintenance & Uptime
  • Own the health, performance, and reliability of all firm systems - servers, networks, cloud environments, and software platforms
  • Establish and enforce a proactive maintenance schedule including patches, updates, version upgrades, and system audits across all global locations
  • Ensure all software is kept current and compatible across the firm's international offices, accounting for regional infrastructure differences
  • Monitor system performance and quickly resolve outages, slowdowns, or integration failures
  • Manage IT infrastructure relationships with hosting providers, cloud platforms, and hardware vendors

Cybersecurity & Compliance
  • Develop and enforce firmwide cybersecurity policies, access controls, and data protection protocols
  • Conduct regular security audits and vulnerability assessments across all systems and offices
  • Lead the firm's response to security incidents, breaches, or threats
  • Ensure compliance with applicable data privacy regulations across all regions of operation
  • Implement multi-factor authentication, endpoint protection, and secure remote access protocols across the global workforce
  • Train staff on cybersecurity best practices and phishing awareness

International Coordination
  • Coordinate technology operations across all domestic and international offices, ensuring consistent systems, tools, and security standards regardless of location
  • Manage time zone differences and regional infrastructure challenges to maintain seamless global connectivity

Internal Collaboration
  • Report to senior leadership on system health, security posture, technology roadmap, and IT budget
  • Collaborate with HR on new hire technology onboarding and offboarding processes
  • Work with department heads to understand evolving software needs and prioritize technology investments accordingly

Requirements
What You'll Bring
  • 7-10 years of experience in IT management, systems integration, or technology operations - preferably within an architecture, engineering, or construction firm
  • Strong working knowledge of network infrastructure, cloud platforms (Microsoft 365, Azure, AWS), and endpoint management
  • Proven cybersecurity experience including policy development, incident response, and compliance management
  • Experience supporting multi-office or international organizations across different time zones and regulatory environments
  • Excellent communication skills - able to translate technical issues into plain language for non-technical staff and leadership
  • Self-starter who can manage multiple priorities independently in a fast-paced, project-driven environment
