Contract Retention Coordinator

This role powers the member experience after signup — onboarding, lifecycle emails, and engagement that reduces churn. You 'll build programs in HubSpot, keep our CRM data clean, and coordinate projects across teams.

Based in Atlanta, we've pioneered a new consumer category for the future of work. With big plans to expand our work clubs nationwide, we're quickly becoming one of the iconic brands of our generation—alongside other Atlanta greats like Home Depot, Waffle House, and Chick-fil-A.

Switchyards is scaling fast……but we're just getting started. We will open work clubs in hundreds of great neighborhoods across the country, combining what we've learned through rapid growth with continued innovation—all while keeping the soulful Switchyards brand at the center. We're on the hunt for a contract Retention Coordinator to join us in 2026 for 20 hours per week, with the opportunity to become a full-time role in 2027. For that reason, Atlanta-based is preferred.

This role focuses on member retention efforts as soon as someone joins Switchyards - the emails, the onboarding, and the moments that keep members coming back. You'll live in HubSpot building the lifecycle and nurture programs that welcome new members, drive engagement, and reduce churn, while doubling as a hands-on CRM admin who keeps our data clean and our workflows humming. You'll also help us test and improve key touchpoints across marketing and retention. You'll work with stakeholders across copy, design, engineering, and ops to keep projects moving and on schedule.

It's a hands-on, detail-heavy role suited for someone who's comfortable in HubSpot, likes building and testing things, and thrives on turning "we should send something here" into a live, working workflow.

Responsibilities

Lifecycle & email marketing (HubSpot Marketing Hub)

  • Build emails, segments, workflows, and forms in HubSpot to support member onboarding, engagement, and retention.
  • Coordinate with copywriters and designers to gather content, then build, QA, and test everything before it ships.
  • Execute on the member email program end to end — and help stand up SMS as we expand into that channel.
  • Research and apply email and lifecycle best practices to improve performance over time.

CRM administration & data quality

  • Support ongoing configuration and optimization of HubSpot, partnering with the Member Services team on Service Hub where their workflows overlap with retention.
  • Keep our data clean: deduplication, validation, field standards, lifecycle stages, and regular cleanup routines.
  • Help build and maintain automated workflows across onboarding and the customer lifecycle.

Project coordination

  • Keep retention and marketing projects moving on schedule, coordinating across copy, design, and ops.
  • Work with stakeholders across departments to gather what's needed, track deliverables, and flag blockers before they slow things down.
Qualifications
  • 2–4 years of experience in lifecycle/email marketing, marketing operations, CRM administration, or a similar role.
  • Hands-on HubSpot experience is strongly recommended — you should be comfortable building emails, segments, workflows, and forms, and doing light platform admin.
  • Solid grasp of email marketing best practices and a working understanding of segmentation and automation.
  • Detail-oriented and organized, with a bias toward action — you can take a task from idea to live with minimal hand-holding.
  • Comfortable QA'ing your own work and testing before you ship.
  • Strong written and verbal communication skills, and collaborative across teams (copywriters, designers, ops, Member Services).
  • Comfortable coordinating projects and keeping deliverables on schedule across multiple stakeholders.
