Facilities Coordinator - JLL

What this job involves:

The Facilities Coordinator will provide critical support to Site and/or Assistant Facility Managers in delivering exceptional operational excellence across maintenance, operations, accounting, vendor oversight, and occupancy services. This is apart-time position (25 hours per week)where you will serve as a subject matter expert in building positive client and vendor relationships while ensuring overall operations are maintained at the highest level. You will proactively develop and maintain client relationships, ensuring that expected service levels are consistently achieved. This role offers an exciting opportunity to contribute directly to JLL's commitment to creating outstanding workplace environments.

What your day-to-day will look like:

Service Delivery & Operations:

  • Conduct daily walkthroughs to ensure a clean, organized, and safe office environment
  • Respond to all work orders in a timely manner, ensuring KPI compliance and excellent customer service
  • Schedule and manage repairs, maintenance, minor works and other work requests, tracking to completion
  • Coordinate site operations including fitness, food services, transportation, moves, and serve as the site key point of contact
  • Provide support for events, meetings and conference facilities as required
  • Manage reception and guest support, mail and courier services, office supplies and equipment maintenance
  • Maintain accurate records and official documentation for the site, including web pages
  • Develop and propose emergency response plans including evacuation and after-hours emergency response

Client & Vendor Management:

  • Build and maintain strong client and vendor relationships
  • Comply with all requirements of the client contract and meet or exceed Key Performance Indicators
  • Deliver exceptional quality of service, as reflected by client feedback
  • Provide information and direction to vendors, facilities staff and service providers to ensure excellent coordination with minimal disruption
Required Qualifications:
  • Prior experience in facilities, property management, hospitality or related fields preferred
  • Excellent communication, organization and problem-solving skills
  • Proficiency in a range of information technology tools and platforms
  • Ability to work independently with little supervision and effectively deal with stressful situations
  • Ability to occasionally lift, push, move as needed for job duties
  • Self-motivated; confident, energetic and flexible
  • Available to work Monday through Friday, 8:30am - 1:30pm PST
Preferred Qualifications:
  • Facilities management experience
  • Customer service and reception experience
  • Office administration background
  • Budget management skills
  • Knowledge of local occupational health and safety requirements
  • Critical facilities and vendor management experience for specialized services
  • Understanding of basic technical aspects of property (computer room air-conditioning, chiller system, fire protection system, mechanical & electrical systems)

Salary:
Competitive compensation based on experience and qualifications

Estimated compensation for this position:

58,240.00 - 66,650.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
