Position Description
The Senior Project Coordinator is the administrative cornerstone of Conlan's Project Management Team. This role owns the full lifecycle of project administration from initial project setup through contract execution and subcontract administration. Serves as the standard-bearer for administrative accuracy, process discipline, and compliance for Conlan's Project Coordinator Team. This position also encompasses secondary oversight of the corporate office environment, ensuring that Conlan's headquarters function professionally and without friction.
This is a high-ownership role. The person in this seat is trusted to operate independently, catch problems before they surface, and hold a standard that reflects The Conlan Way .
PRIMARY RESPONSIBILITIES
Project Setup & ERP Administration
  • Assist as needed with Owner Contract development and execution; maintaining final executed records
  • Set up new projects in Trimble Viewpoint Vista and Procore, ensuring all project data - contract values, cost codes, team assignments, and marketing information - is complete and accurate at project initiation
  • Maintain project records in all systems throughout the project lifecycle; coordinate data updates with Project Managers and Accounting to include Changes to Owner Contracts
  • Support project closeout administration, ensuring all required documentation is collected and filed

Subcontract Administration
  • Issue, and manage subcontract workflows from award through full execution, ensuring accuracy in insurance, compliance, and terms.
  • Track subcontract execution status across all active projects; follow up with subcontractors to ensure timely return of signed documents
  • Verify compliance and assist subcontractors with Conlan's project insurance requirements
  • Coordinate with Project Managers and Accounting to resolve subcontract discrepancies and support the buyout process

Notice of Commencement & Compliance
  • Prepare and file Notices of Commencement (NOCs) for all applicable projects in accordance with state and county statutory requirements maintaining recorded copies in project files
  • In coordination with accounting, monitor and troubleshoot subcontractor compliance discrepancies - contract executions, insurance gaps, missing lien waivers

Team Leadership & Process Standards
  • Directly supervise and mentor one to two Project Coordinators; provide quality review, and developmental feedback
  • Own and continuously improve standard operating procedures, templates, and checklists for all project coordination workflows
  • Serve as the go-to resource for Project Managers in Atlanta on administrative process and compliance questions, assisting our Jacksonville and Dallas office as needed

SECONDARY RESPONSIBILITIES
Office Operations
In addition to core project coordination responsibilities, this role provides oversight of the Atlanta corporate office environment.
  • Supervise the Receptionist, providing day-to-day direction and performance guidance
  • Serve as primary liaison with building management on facility matters, maintenance requests, and lease compliance
  • Manage office supply procurement and vendor relationships; evaluate cost and service quality
  • Oversee office equipment, mail, courier accounts, and general facility logistics

Coordinate logistics for Conlan events: travel arrangements, venue scheduling and hospitality
Position Requirements
QUALIFICATIONS
Required
  • 8 - 15 years of experience in construction project coordination or administration within a general contracting or construction management environment
  • Hands-on experience with subcontract administration and owner contract management
  • Proficiency with a construction ERP system - Trimble Viewpoint Vista strongly preferred; Procore or equivalent acceptable
  • Demonstrated ability to manage high-volume administrative workload across multiple simultaneous projects with accuracy and composure
  • Experience supervising or mentoring at least one direct report
  • Strong command of Microsoft Office Suite, particularly Word, Excel, and Outlook
  • Exceptional attention to detail and document accuracy; understands that errors in contract administration carry real legal and financial consequence

Preferred
  • Background in commercial or industrial general contracting - distribution, logistics, or tilt-wall construction experience a plus
  • Familiarity with lien law compliance and statutory filing requirements across multiple states
  • Associate's or Bachelor's degree in Business Administration, Construction Management, or a related field
