Job description

CORE AREAS OF RESPONSIBILITY
Contract Administration:
Process awarded contracts and maintain contract tracking systems.
Coordinate execution of contracts, amendments, and change orders.
Maintain accurate electronic and physical contract records.
Monitor contract deadlines, deliverables, and documentation requirements.
Support project closeout activities and final document collection.
Coordinate document routing and signatures.


Subcontractor Compliance:
Manage subcontractor onboarding and compliance requirements.
Collect and maintain documentation including W-9s, Business licenses, DIR registrations, Prequalification
packages, Contract compliance documents
Track outstanding requirements and proactively follow up with subcontractors.


Public Works & Labor Compliance:
Support certified payroll and prevailing wage compliance processes.
Coordinate labor compliance submissions through customer and third-party portals.
Track apprenticeship and public works compliance requirements.
Assist with owner, auditor, and agency requests.
Maintain compliance records and supporting documentation.


Administrative & Project Support:
Maintain departmental trackers and reporting tools.
Support RFP and prequalification submissions.
Prepare compliance correspondence and project documentation.
Monitor department workflows and shared inboxes.
Assist with special projects and process improvement initiatives.


REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
Strong organizational and time management skills
Exceptional attention to detail
Excellent written and verbal communication skills
Ability to manage multiple deadlines and changing priorities
Proficiency in Microsoft Outlook, Word, Excel, and Teams
Familiarity with public works projects and prevailing wage requirements.
Experience with certified payroll, DIR compliance, or labor compliance programs preferred
Experience working with project management, accounting, or compliance tracking software preferred


EDUCATION AND EXPERIENCE
2+ years of experience in contract administration, construction administration, project administration,
compliance adminiistration or related contruction industry support roles
High School diploma or GED required, associates or bachelors degree in related field preferred


PHYSICAL DEMANDS AND REQUIREMENTS
Ability to lift and/or carry up to 40lbs.
Regularly required to sit, talk, listen and maintain visual acuity
Prolonged periods sitting at a desk and working on a computer
Repetitive hand and eye coordination and manual dexterity to operate a computer keyboard and basic office
equipment
Subject to sitting, standing, reaching, walking, twisting and kneeling to perform essential functions
Largely sedentary role
