Pavion and our family of companies are seeking a talented and motivated Permit & Operations Coordinator to join our security business unit.


Primary Responsibilities:

Permit Lifecycle Management

  • Coordinate all activities associated with obtaining permits for customer projects, including application preparation, submission, tracking, and approval.
  • Serve as liaison between Project Management, Operations, Shared Services, and permitting authorities.
  • Schedule and track required inspections.
  • Manage permit closeout activities and final approvals.
  • Maintain permit records and provide status reporting.

Operations Support & Compliance

  • Assist with tracking and monitoring safety compliance requirements and related documentation.
  • Support the collection, organization, and maintenance of project closeout documentation.
  • Ensure operational records are accurate, complete, and readily accessible.
  • Collaborate with Operations leadership to support regulatory compliance and process improvement initiatives.

Administrative Support

  • Coordinate office supply inventory and ordering.
  • Maintain organized electronic and physical filing systems.
  • Provide administrative support to the Operations team as needed.
  • Prioritize and manage multiple tasks, deadlines, and competing priorities in a fast-paced environment.

Other duties as assigned

Basic Qualifications:

  • High school diploma or equivalent required.
  • Minimum of two (2) years of experience in an office, administrative, or project support environment.
  • Proficient in Microsoft Office and other business software applications.
  • Strong organizational, time management, and prioritization skills.
  • Ability to manage multiple assignments and meet deadlines.
  • Strong written and verbal communication skills.
  • Detail-oriented with the ability to maintain accurate records and documentation.

Preferred Qualifications:

  • Experience working with permitting processes, project coordination, field operations, or regulatory compliance activities. 
  • Experience interacting with municipal agencies, inspectors, or regulatory authorities. 
  • Strong problem-solving skills and ability to work independently. 
  • Ability to effectively collaborate with cross-functional teams and external stakeholders.  

 The hourly pay range for this position is $25.72–$38.28 per hour.  The starting hourly pay will be determined based on qualifications, experience, education, skills, certifications, and internal equity. We also offer a comprehensive benefits package.
