Job description

Specialized Recruiting Group is hiring a Contract Specialist for a full-time contract opportunity with the local government in Durham, NC

We’re seeking a detail-oriented Contract Specialist to manage the day-to-day lifecycle of an Information Technology department’s contracts. As a Contract Specialist, you will keep the department's contract pipeline moving: tracking every open contract, coordinating template and redline exchanges between vendors and the organization’s legal department, assembling final documents, routing them for electronic signature, and initiating purchase orders.

The role handles standard template contracts but still demands strong organization, disciplined time management, and exceptional attention to detail across a high volume of active work. The department processes roughly 100–120 contracts per fiscal year, and this role is responsible for moving each of them through to execution on schedule.

This is a full-time (40 hours/week) role with a compensation of $24.00-$30.00/hour. Work is performed on-site in Durham during the training period of 3-4 weeks. Beyond that, work is performed on a Hybrid basis, 3 days remote and 2 days on-site. This a contract position with no anticipated end-date and is effectively open-ended. There is the possibility of conversion into a permanent role 1+ year into the contract.

Key Responsibilities:

  • Maintain an ongoing Excel tracker of all open contracts and their status; review it daily to determine and prioritize the next action for each active contract.
  • Distribute the organization’s standard contract template to vendors and manage their acceptance or redlines.
  • Coordinate redline review between vendors and the legal department, managing revisions until an executable document is reached.
  • Assemble finalized contracts in Adobe, ordering all documents to meet organizational formatting guidelines.
  • Route contract packages for signatures and approvals through DocuSign.
  • Monitor the electronic workflow against the 2–3 business day SLA and follow up promptly with any party holding up execution.
  • Deposit fully executed contracts into the organization’s financial system to initiate purchase orders.
  • Track timetables and manage competing deadlines across a portfolio of roughly 100–120 contracts per fiscal year.
  • Compose clear, routine contract-related correspondence and vendor/interdepartmental follow-ups.

Desired Qualifications

  • Proficiency with Microsoft Excel, including maintaining and updating an ongoing status tracker.
  • Extremely high proficiency with Adobe (Acrobat), including assembling and ordering documents within a package to meet formatting guidelines.
  • Proficiency with DocuSign or a comparable e-signature platform.
  • Exceptional attention to detail and accuracy — this is critical to the role.
  • Strong time management and organizational skills, with the ability to track and prioritize many concurrent contract deadlines.
  • Working knowledge of contracts and contract documents.
  • Clear written communication for vendor and interdepartmental correspondence.
  • Experience in procurement, contract administration, or a government / public-sector environment is a plus.
