Responsible for assigned project management and technical support for proposed new retail and/or mixed-use focused real estate redevelopment and existing and expansion projects within the our portfolio. support the SVP of Construction & Development in several real estate development projects using outside consultants and supporting development staff.

Essential Functions Responsibilities:

  • Coordinate and administer all project management activities associated with all assigned tenant improvement projects & capital expenditure projects, at properties across the portfolio.
  • Create and manage budgets and schedules for projects ranging from small tenant buildouts to intricate mixed-use capital improvements to evaluate feasibility of plans.
  • Create RFP's for consultants, contractors and vendors with complete scopes of work detailed in RFP documentation. Then, solicit and level received bids, award and contract scope, and on-board selected bidders to project team based on competitive bidding process.
  • Review and negotiate consultant, vendor, and construction contracts to ensure the company is adequately protected and insured with legal documentation while verifying all contracted project scope is accurately defined and included.
  • Manage and direct the design consultant teams during preparation of all trade disciplines from initial concept to construction documents including Architectural, MEP, Structural, Civil, Acoustical etc. while also managing the applicable permitting and entitlement processes within the relevant jurisdictions.
  • Manage and direct teams of Architects, Engineers, and General Contractors regarding all construction documents, site plans, LODs, building design issues, and value engineering exercises for assigned projects.
  • Responsible for overseeing and managing the review and approval of tenant store design and construction documents in compliance with Tenant Design Criteria and Tenant Signage Criteria for each property. Reviewing all tenant proposed designs against these guidelines within the required timeframes is critical to promote successful Leasing efforts at each property.
  • Monitor, maintain, and enforce individual project Tenant Design Criteria Guidelines as well as Contractor Rules & Regulations, as well as all general construction safety protocols across each property.
  • Direct and manage performance of all hired contractors and consultants for any lease-required Landlord Work as well as other capital improvement projects assigned. Managing the coordination of all parties as needed to facilitate timely completion of work according to project schedules is essential.
  • Conduct regularly scheduled project meetings to provide informational updates to applicable internal and external stakeholders.
  • Maintain consistent and thorough communication with tenants and their construction representatives throughout the buildout process for each new lease, while also updating internal departments such as the Property Management, Leasing, and Asset Management teams to ensure that all major stakeholders are regularly informed of progress of key store openings.
  • Communicate between critical stakeholders regarding the submission of design and construction documents as required to support attaining Required Opening Dates and/or compliance with the Construction Completion Timeline for all Tenant Coordination projects to help these new businesses open effectively.
  • Work with and manage contractors during construction, assist architectural and engineering teams in responding to RFI's, reviewing submittals, while understanding and negotiating change orders on an as-needed basis throughout construction phases.
  • Work with the Development Coordinators and Accounting Department to ensure that all contractual documents, as well as invoices and pay applications received from hired professionals, are appropriately organized and submitted for review, approval, and payment according to all internal company procedures.
  • Assist Leasing Team through the development and coordination of design concepts that promote the lease-ability and viability of unique tenant programs and spaces. Providing support to Leasing by being a knowledgeable resource regarding matters related to planning, budgeting, designing, permitting, and constructing prospective tenant buildouts is a key component of successfully fulfilling the Development Manager role.
  • Provide Leasing support with the timely processing of requested tenant space configurations, LODs, design packages, recommendations, and approval of tenant work, as well as the determination and pricing of Landlord Work budgets. The review, creation, or modification of Landlord and Tenant Work Letters through this process is also a critical focus within this role.
  • Provide assistance to Leasing by determining scope of Tenant's Work that will achieve the Landlord's acceptable design standards. Communicate and collaborate with tenants and their consultants to complete their defined scope as approved by Landlord in a timely & effective manner.
  • Prepare and review scope for Landlord and Tenant Work Letters based on feedback from key stakeholders as a critical component of lease negotiation for most new & prospective tenants.
  • Assist Property Management team in completion of capital improvement projects through various phases of the project life cycle including budgeting, design, bidding, permitting & construction phases.
  • Ensure that Property Management has received all communications pertaining to the construction of each upcoming tenant buildout and is prepared to conduct a pre-construction meeting for all new Tenant Coordination projects. Similarly, ensuring that Property Management is informed of the site logistics related to disruptive capital improvement work so surrounding tenants can be properly notified is similarly important.
  • File and organize all project documentation according to company guidelines.
  • Report to executives and key stakeholders both verbally & written form on a day-to-day basis.
  • Visit each assigned property regularly to properly coordinate Landlord capital expenditure projects on-site, while also monitoring ongoing Tenant construction activity, to ultimately maintain familiarity with assigned properties/projects within the portfolio.

Qualifications & Desired Skills:

  • Bachelor's Degree in Architecture, Construction Management or similar.
  • 8-12 years of experience in retail tenant coordination, retail design & construction management.
  • Proficiency with Microsoft Word, Excel and Project.
  • Proven proficiency in reading and understanding construction documents, interpreting construction means and method & ensuring compliance with building construction and project design criteria.
  • Proven proficiency in reading and understanding commercial lease agreements, Work Letters and other industry-standard documents. Architectural registration preferred.
  • Excellent communication and teamwork skills.
  • Clear and concise written, verbal and graphic presentation skills.
  • Ability to prepare construction budgets and construction schedules.
  • Ability to manage and supervise third-party consultants, architects, and contractors.
