FULL DESCRIPTION: We are seeking an Accounting Coordinator to support daily accounting and administrative operations within a construction-related environment. This role is primarily responsible for accounts payable duties, with cross-training in accounts receivable, vendor invoice processing, expense coding, disbursement scheduling, vendor statement reconciliation, invoice generation, payment posting, filing, and general office support. The ideal candidate will have construction accounting experience, AP and AR experience, strong attention to detail, and experience using computerized accounting software.

The selected candidate will be responsible for:

  • Reviewing, verifying, and processing vendor invoices for payment
  • Matching vendor invoices against purchase orders and receiving documents
  • Coding expenses accurately to the appropriate cost centers and general ledger accounts
  • Scheduling disbursements, including checks and ACH payments
  • Ensuring payment terms are met to avoid late fees
  • Reconciling vendor statements
  • Investigating outstanding balances and resolving payment discrepancies
  • Processing employee expense reports
  • Generating and distributing accurate invoices to clients
  • Setting up accounts receivable contracts in the accounting system
  • Processing lien releases
  • Processing and recording incoming customer payments and adjustments in the accounting system
  • Reconciling the accounts receivable ledger
  • Monitoring accounts for delinquency
  • Communicating with clients by email or phone to collect past-due balances
  • Maintaining organized electronic and paper filing systems
