Hybrid Annapolis office - Annapolis, MD 21401

Work Location: Annapolis, Maryland. The Chesapeake Conservancy office operates under a hybrid remote/in-person environment with two days in the office per week required.

ABOUT CHESAPEAKE CONSERVANCY

Chesapeake Conservancy is the only watershed-wide organization focused on both land conservation and stream restoration to achieve a healthier Chesapeake Bay. We're creating, using and sharing the latest groundbreaking data and technology, including artificial intelligence, to determine where to focus conservation efforts to have the greatest impact with the most efficient use of resources.

PRIMARY RESPONSIBILITY

The executive assistant provides administration support for the leadership team. This full-time position reports to the vice president of operations but will also receive direction from the vice president of development and CEO to provide administrative support. This detail-oriented individual handles confidential information with discretion and shows good judgement, communicates clearly and effectively and maintains trusting relationships with all staff members.

ESSENTIAL FUNCTIONS

  • Inputs development data into DonorPerfect or a future CRM
  • Prepares and distributes accurate donor acknowledgement letters
  • Deposits fundraising checks
  • Other administrative duties as assigned

CEO Admin Support

  • Maintains the CEO's Chesapeake Conservancy calendar and coordinates incoming and outgoing scheduling and email requests
  • Assists CEO in other administrative tasks upon request

Office Management

  • Manages office supplies, keeping inventory of current supply levels and placing orders when needed to replenish materials
  • Manages Skedda calendar for the office
  • Inputs invoices into Bill.com

Other Duties as Assigned

REQUIRED SKILLS/ABILITIES

  • 3-5 years of administrative experience
  • Excellent attention to detail
  • Ability to work independently
  • Excellent communication skills both within and outside the organization
  • Ability to maintain confidentiality
  • Ability to manage time while juggling multiple projects from multiple sources

PREFERRED SKILLS/ABILITIES

  • Proficiency in Microsoft Office Suite and Google Suite
  • Experience with donor software or other CRM

COMPENSATION AND BENEFITS

The salary range for this position is $50,000 - $60,000 depending on relevant experience. The Conservancy offers a competitive employee benefits package that includes:

  • 3 medical plans, plus dental and vision insurance plans. The Conservancy pays 70-75% of the premium for medical and dental.
  • Health Savings Account and Flexible Spending Account options
  • Life and AD&D insurance and long-term disability insurance. The Conservancy pays 100% of the premium for these ancillary benefits.
  • 15 days paid vacation leave accrued annually, increased to 20 days after 5 years of service
