Job description

Events Coordinator

Experienced, organized individual to spearhead our clients Conference & Production Services calendar/communications. The team handles everything from basic room reservations to large, outdoor celebrations. You'll be responsible for answering phone calls, emails, and triaging them appropriately. You will manage weekly conference room walkthroughs, with reporting a weekly status update. You'll learn to use the clients reservation tool, handle many aspects of conference room coordination, including space reservations, calendar management, and work orders for facility needs (e.g., furniture setups, janitorial, electrical, etc.). Lastly, you'll support basic AV appointments-- setting up Webex, Video Conferencing, Keynote, and microphones.

Conference & Production Services is a diverse and nimble team that operates the clients Campus Conference Center schedules.
Experienced admin/coordinator with great communication skills and a can-do attitude to support the efforts is a must.

Key Qualifications:

  • 3+years' experience as an Admin
  • You are proactive and a team player
  • Strong attention to detail and critical thinking skills.
  • Able to analyze situations, develop creative solutions, and see around corners to anticipate (and solve for) problems.
  • Superior communication skills, with an ability to summarize and share relevant information in a clear and easy-to-understand way, across all levels. You are poised and skillfully communicate to develop trust and strong partnerships.
  • Track record delivering high-quality results, with minimal direction, in an environment where expectations are high and timelines are challenging.
  • You have excellent time management skills, and can multi-task and establish priorities.
  • You don't need to be reminded to follow-up and follow-through.
  • Able to remain flexible and prepared for changes to the schedule
  • Act with a sense or urgency and quickly respond to emails, texts, and phone calls in order to provide a high standard of service to customers and colleagues.

Schedule:

  • Tuesday to Thursday
  • Ability to commute

Experience:

  • Customer service: 1 year (Preferred)
  • Coordinator experience: 1 year (Preferred)
