Job description

The Specialist is responsible for providing support in the daily operation and maintenance of the companys fleet management system (FleetWave) and related technologies. This role assists in ensuring optimal system performance, security, and compliance, and provides support for fleet management business processes, workflow optimization, hardware configuration, system updates, data accuracy, documentation, and user training to help maintain efficient and reliable operations.

Required Education/Experience
  • Bachelor's Degree and 2 years of relevant experience or
  • Associate's Degree and 4 years of relevant experience or
  • High School Diploma/GED and 5 years of relevant experience
Relevant Work Experience
  • Highly organized with strong problem-solving abilities, attention to detail, and sound decision-making skills, required.
  • Proficiency in Microsoft Office Suite and data reporting tools, with the ability to communicate data analysis results clearly to stakeholders at all technical levels, required.
  • Willingness to support after-hours or weekend operations during inventory or system maintenance events, required.
  • Ability to create and maintain system reports (utilization, vehicle allocations, fuel consumption, mileage, tax, KPIs, etc.), preferred.
  • Experience administering and utilizing workmanagement or fleetmanagement systems, with strong knowledge of related maintenance and business processes, and the ability to leverage technology for effective asset and fleet management (vehicles, trucks, equipment), required
  • Familiarity with fleet assets (vehicles, trucks, and equipment), and the operational and maintenance processes that support them, preferred.
  • Experience assisting with fleet management for large fleets (5,000+ assets), preferred.

Additional Physical Demands
  • The selected candidate will be assigned a System Emergency Assignment (i.e., an emergency response role) and will be expected to work non-business hours during emergencies, which may include nights, weekends, and holidays.
Core Responsibilities
  • Administer fleet management software, including user account and access management.
  • Monitor system performance and interfaces (Oracle, telematics, fuel systems), proactively identifying and correcting data errors to prevent issues.
  • Collaborate with internal teams to resolve issues and implement process improvements.
  • Diagnose and resolve technical problems related to software and system operations.
  • Ensure system data and configurations meet IT security, audit, and financial compliance standards.
  • Maintain system reports, including utilization, vehicle allocations, fuel consumption, mileage, tax, and key performance indicators (KPIs).
  • Provide user support, conduct training, and feedback sessions as needed.
