Job description

Position: Concert Event Manager IIIย 

Location:ย BTS Catering & Events

Reports to: Director of Operations, Operations Manager

Hourly Range:ย $20-$25 determined based on experience

Schedule:ย Part-Time hourly up to 40 hours a week

Experience:ย Small Event Experience (< 50 persons), Warehouse Pulls, Vans, Training

Theย company is headquartered in San Diego, California and services large corporations, privateclients, major sports and news broadcast companies, venues, concert tours, PGA golf events, corporate marketing tours, and major sporting events throughout San Diego and across the globe.ย

Job Summary:ย This position will consist of management of service employees, fielding client needs on site, menu integrity, communication with onsite kitchen team, timely service, set-up, clean-up, load-out and overall operation of catering areas at all assigned events. Employee will communicate event details with Sales Manager and Executive Chef prior and post event.ย  ย 

Jobย Duties:ย ย 

Warehouse General Operations:ย ย 

  1. Clocking in/out for shifts throughย HCMtogoย and minimizing missed punches.ย (communicating missed punches within the same day of errors)ย 

  1. Time management within shifts and ensuring breaks are being recorded inย HCMtogoย as well as taken before the 5thย hour of a shift.ย ย 

  1. Assistย in event pull sheets and learn from Event Manager II & I on efficiency within pulls.ย ย 

  1. Double check event checklist, and event comment page.ย ย 

  1. Work with Director of Operations toย maintainย inventory of dry goods, beverages, linen,ย decor, food items, paperย products.ย ย 

  1. Warehouse organization and inventory of products and equipment post events.ย ย 

  1. Maintainย good drivingย record (no talking or texting while driving) and abide by all traffic laws.ย 

  1. Ability to drive company vans and small box trucks.ย ย 

Warehouse Load-in:ย ย 

  1. Day of event, report to warehouse at scheduled time.ย ย 

  1. Read event folders and ensure you have all items (equipment, decor, misc.) needed forย event.ย ย 

  1. Check with Chefs to ensure you have all food and condiments for out the door times.ย ย 

  1. Load any "day of" pull items and load them into the vehicle along with food.ย 

On-Site:ย ย 

  1. Introduce yourself to the client and do a walk-through of the event space to ensure the layout is correct.ย ย 

  1. Make yourself the only point of contact for the event and meet with FOH staff to ensure they understand the event timeline.ย ย 

  1. Conduct FOH meeting.ย 

  1. Establish everyone's role at the event.ย ย 

  1. Ensure uniforms areย correctย and grooming standards are acceptable.ย 

  1. Run through the timeline as well as the menu and call outs as well as dietary restrictions.ย ย 

  1. Communicate with onsite culinary for timelines of service.ย 

  1. Communicate any updates or changes with Culinary and staff onsite.ย 

  1. Fill outย timesheetย providedย inย eventย folder for BTS and service employees as well as personal time information.ย ย 

  1. Fill outย theย post event note page inย the eventย folder with any pertinent information and feedback from clients.ย ย 

  1. Manageย eventsย from start to finish and at conclusion of event prepare for load out.ย ย 

Load Out:ย ย 

  1. Take inventory of all equipment (BTS and rented), delegate tasks to ensureย all equipment, decor, and foodย makeย it onto the truck.ย 

  1. Food is reefer trucksย remainย onย and a note is left for morning crew.ย ย

  1. Do final walkthrough of event spaceย ensuringย nothing is left behind and the space is left clean.ย ย 

  1. Bring vehicles back to BTS and unload what is specified (dirty dishes/ trash etc..) and complete any outstanding areas in event file.ย ย 

Skills Required:ย 

  • Team oriented with interpersonal skills.ย 

  • Ability to adapt to changing demands.ย 

  • Lifting, carrying, pushing, and pulling 50 pounds.ย 

  • Standing forย long periodsย of time, bending, squatting, repeated lifting.ย 

  • Exposure toย solvents, fumes, chemical cleaning supplies.ย  ย
