Job description

Vedder's Chicago office is looking for an HRIS Manager. The HRIS Manager serves as the Firm's primary HRIS subject matter expert and working manager, responsible for the hands-on administration, development, integration, and optimization of the Firm's HR technology platforms. The position is heavily involved in system maintenance, configuration, testing, upgrades, daily support, data management, reporting, vendor interfaces, and future technology initiatives related to the Firm's HRIS systems, including UKG, viDesktop, and PolicyTech. This position reports to the Chief Human Resources Officer and collaborates across departments to ensure organizational needs are met while enhancing overall HR operations.

As the HRIS Manager, your duties will include but not be limited to:

  • Manage the day-to-day administration of the Firm’s HR systems, including but not limited to UKG, ViDesktop, PolicyTech; testing, configuration updates and troubleshooting
  • Provide constant support to the Firm and HR team researching and resolving end user issues, unexpected results or process flaws; perform scheduled activities/maintenance; recommend solutions or alternate methods to meet requirements and improve efficiencies
  • Write, maintain and provide a variety of reports and queries utilizing appropriate reporting tools with high level of accuracy and support
  • Develop data integrity protocols between HR, Accounting, Finance and other internal departments and systems
  • Design and develop communication strategies related to system integrations and HRIS system developments and updates
  • Maintain HR and payroll data integrity in the systems by running queries, analyzing data, and creating and running various audits
  • Identify functional, technical and security gaps, and develop required documentation to improve and automate processes
  • Serve as a key liaison with external vendors and internal stakeholders
  • Serve as a technical point-of-contact for assigned functional areas and assist subject matter experts with ensuring data integrity, testing of system changes, report writing and analyzing data flows for process improvement opportunities
  • Maintain standard operating procedures for HRIS workflows and processes
  • Support and manage technical aspects of UKG upgrades, patches, testing enhancements, validation and overall performance management of the system
  • Manage technical aspects of the implementation and design of modules within UKG, including employee self-service modules for compensation, attendance and health and retirement (benefits) information
  • Collaborate with HR team on non-exempt and exempt focal point reviews processes on an annual basis ensuring data integrity within UKG, viDesktop, Intapp and compensation reports
  • Work with Benefits Team to manage open enrollment process within UKG as well as data interfaces with benefits vendors
  • Partner with Training Team to create and update quick reference and user guides for employees
  • Work closely with Human Resources, Payroll and Firm Administrative Department Managers to create and maintain customized reports with high level of accuracy
  • Gather requirements, map processes, and write functional specifications for new reports and system updates
  • Work with the end users to define system needs and participate in process/system improvement efforts
  • Work with HR Managers on annual compliance reporting
  • Partner with HR Manager and HR Specialist on annual salary survey reporting
  • Maintain up-to-date knowledge on potential system enhancements, making strategic recommendations to ensure consistent efficiency and improvement within each system

Skills & Competencies:

  • Strong proficiency and knowledge of Ultimate Software
  • Strong working knowledge of implementing HRIS system (UKG) into an existing infrastructure
  • Strong understanding of HR processes and data, including eligibility and enrollment rules, and benefit procedures in order to ensure correct implementation and interface with existing Firm systems
  • Strong understanding of HRIS database design, structure, functions and processes, and experience with database tools
  • Strong background in data integrity analytics audits and reporting
  • Highly detail-oriented with excellent organizational, analytical and time management and critical thinking skills
  • Ability to handle multiple responsibilities in a fast-paced environment

Qualifications & Required Experience:

  • Bachelor’s degree in Human Resources, Computer Science or a related field preferred
  • Minimum 8+ years of HRIS administration experience in a professional services environment required
  • Minimum 2 years of management experience
  • Minimum of 1 year of experience with HRIS based project management and systems implementation experience
  • Ability to work well as a team and independently for efficient and effective results
  • Position also requires the ability to work under pressure to meet strict deadlines.

  • Strong proficiency using Microsoft Office Suite
  • Extensive working knowledge managing HRIS systems; UKG preferred, viDesktop, PolicyTech

Compensation Range: 105,000/yr. to $150,000/yr.
