Job description

The Department of Electrical Engineering and Computer Science (EECS) at the University of Tennessee, Knoxville, invites applications for a full-time Student Services Associate. Reporting to the Front Office Manager, this position serves as a key point of contact for graduate students, faculty, and prospective applicants.

This role plays an important part in supporting graduate student success by coordinating admissions processes, assistantship hiring (GTA/GRA), and student records, while also contributing to the daily operations of a fast-paced academic office.

The position experiences a high-impact, fast-paced period during the graduate hiring cycle (March-August), with a more balanced and steadier workflow throughout the remainder of the year.

Required Qualifications:

Experience:

  • High School Diploma or GED 

Experience: 

  • One to three years of office experience.

  • Excellent organizational skills and ability to manage multiple tasks in a fast-paced environment

Compensation and Benefits:

Academic Coordination:

  • Coordinate graduate admissions processes, including application review, document tracking, and communication with applicants
  • Prepare and manage graduate offer letters and assist with onboarding processes

  • Assist with GTA/GRA hiring processes by coordinating with faculty and HR to ensure timely and accurate appointments
  • Maintain graduate student records across multiple systems (Banner, Argos, etc.) and ensure data accuracy
  • Provide basic reporting support (enrollment, demographics, and student data)
  • Serve as a resource for graduate students by answering questions related to registration, program requirements, and processes
  • Assist international students with required documentation and onboarding steps
  • Support graduate student milestones such as qualifying exams and program changes
  • Coordinate communication related to graduate student updates, deadlines, and orientation

Administrative Support:

  • Serve as a front-line contact by monitoring a high-volume departmental email account and responding to inquiries
  • Provide front office support, including phone coverage and general assistance to students and visitors
  • Coordinate room scheduling for events such as dissertation defenses
  • Perform general administrative and clerical duties to support departmental operations
