Role:

The Maintenance & Engineering Dispatcher Associate's primary responsibilities are to oversee the day to day operations of the Maintenance & Engineering Status Board function ensuring a smooth daily turn.


Responsibilities:

  • Oversee the successful execution of the following as well as completing the tasks when necessary:
  • Daily set up and room assignments for the Maintenance staff.
  • Review and respond to company emails from internal and/or external sources as needed.
  • Run & monitor reports such as late checkouts, out of service, early outs.
  • Prepare Out of orders list.
  • Work closely with and communicate with the Front Desk Room Controller/Leadership regarding any opportunities or challenges that arise concerning project rooms and/or units are require Out Of Order status.
  • Answer telephone calls, respond to questions and handle requests from internal and external guests.
  • Create Eagle work orders in timely manner.
  • Track and follow up on the progress of all Maintenance work orders to ensure timely completion; report any Engineering Overdue work orders to department leads/leadership immediately.
  • Communicate with Front Desk team to resolve any room discrepancies.
  • Maintain accurate records of quarterly project lists.
  • Input Housekeeping and Maintenance work orders in Max Panda.
  • Performs clerical duties such as typing filing and computer inputs.
  • Report any challenges to the Maintenance & Engineering Management immediately.
  • Arriving on time for all scheduled shifts in proper attire, including nametag.
  • Maintain a flexible work schedule according to the occupancy levels.
  • Any other tasks as assigned by management.

Requirements

  • Must have effective oral and written English communication skills.
  • Basic knowledge on handling devices and radios.
  • Knowledge of basic computer skills.
  • Knowledge of basic math skills.
  • Ability to operate copier, fax and scanner.
  • Ability to handle a multiple phone lines.
  • Ability to use computers and software applications related to assigned task.
  • Ability to type at least 30 words per minute.
  • Have an excellent customer service, sustainability and diversity, equity and inclusion.
  • Be able to take clear messages and deal with upset customers.
  • Have phone and radio etiquette.
  • Have a hospitable personality, team oriented, and enjoys working with and serving people.
  • Ability to work flexible shifts including nights, holiday and weekends.
  • At least 18 years of age.

Physical Requirements:

  • Required to sit for extended periods of time.

The Maintenance & Engineering Dispatcher tasks are not limited to the above mentioned job description and may be requested to do additional tasks as directed by Management Team.
