Position Summary
Bailey Information Technology, LLC is seeking a Program Support Assistant to provide administrative and clerical support to scientific and technical staff across multiple research units. The Program Support Assistant serves as a key link between researchers, management, and external partners, facilitating communication, coordinating schedules, and maintaining the documentation and organizational structure needed to keep federally funded scientific programs running smoothly. This role allows scientists and technical staff to focus on research productivity rather than administrative overhead.
Key Responsibilities
  • Answer phones and greet office visitors
  • Schedule appointments, maintain calendars, and coordinate meetings
  • Collate and distribute incoming and outgoing mail
  • Prepare memos, emails, invoices, reports, and other correspondence
  • Write and edit written communications, from letters to reports and instructional documents
  • Create and maintain electronic and physical filing systems
  • Manage accounts and perform basic bookkeeping functions
  • Support event planning and coordination of supervisors' schedules
  • Oversee routine and advanced clerical duties in support of research administrators and staff

Required Qualifications & Skills
  • Strong decision-making skills, able to work independently and determine the best approach to daily tasks
  • Excellent communication and collaboration skills across administrators, support personnel, management, and external clients
  • Strong organizational skills to help ensure deadlines and appointments are consistently met
  • Professional writing skills, including correct spelling and grammar, for emails, letters, documents, and correspondence
  • Effective time management and business management skills, with strong attention to detail
  • Ability to learn new computer programs and systems as needed
  • Proficiency with the Microsoft Office 365 suite of software
  • Sufficient aptitude in mathematics and general accounting, bookkeeping, and billing knowledge
