Job description

Position Summary

The Purchasing Administrator provides administrative support for the purchasing function by processing purchase orders, maintaining records, coordinating with vendors and internal teams, and ensuring purchasing information is accurate and complete.

Role Details:

  • This role is based in office out of our Edmonton 18th St location.
  • Monday-Friday, 8am - 4:30pm.
  • This is a contract position for a minimum of two months with strong possibility of extension and/or conversion into a full-time position.
Responsibilities

Purchase Order Administration

  • Process a high volume of purchase requests and create approximately 30-40 purchase orders per day.
  • Review purchase requisitions for accuracy and follow up on missing or unclear information.
  • Enter supplier quotes, pricing, and GL codes into the purchasing system.
  • Issue, post, and distribute purchase orders to internal stakeholders and vendors.
  • Monitor open POs and follow up on order status, delays, or required changes.

Vendor and Internal Coordination

  • Maintain vendor, supplier, and contractor contact information in the purchasing database.
  • Coordinate with Accounts Payable, tool crib personnel, and internal requesters regarding purchasing, receiving, and invoice-related questions.

Inventory and Consumables

  • Assist with maintaining accurate purchasing and inventory-related information.

Records and Data Maintenance

  • Maintain organized electronic files for POs, quotes, requisitions, and supporting documentation.
  • Keep purchasing system information accurate and up to date, including vendor details, pricing, quotes and PO information.
  • Maintain complete and accurate purchasing records for tracking and audit purposes.
  • Complete other purchasing and administrative duties as assigned.
Requirements
  • Minimum of 2 years of experience in purchasing, procurement, inventory, or a related administrative support role.
  • Experience creating purchase orders and working with purchasing, ERP, or PO request systems.
  • Knowledge of basic purchasing, procurement, and inventory processes and terminology.
  • Strong computer skills, including Excel, Word, Outlook, Teams, and SharePoint.
  • Experience with MAS, E Requester, and/or Fraxion is considered an asset.
  • Strong attention to detail, organization, data-entry, and follow-up skills.
  • Able to compare pricing, quantities, and vendor terms to support purchasing decisions.
  • Strong written and verbal communication skills.
  • A degree or diploma in business, supply chain, or a related field is considered an asset.
  • Ability to lift up to 50 lbs. for cross-training and support within the tool crib.
