We are seeking a detail-oriented and proactive Administrative Assistant to support our attorneys and legal operations. This role is ideal for someone who thrives in a structured, fast-paced legal environment and enjoys being the organizational backbone of the firm.Who You AreYou are a dependable professional with strong organizational skills and a proactive mindset. You understand the importance of confidentiality, accuracy, and timeliness in a legal setting. You’re comfortable juggling multiple tasks and take pride in keeping the office running smoothly.What You’ll Do

  • Prepare and forward letters to adjusters, clients, and insureds (e.g., mediation, trial, court dates, depositions)
  • Prepare, serve, and calendar supplemental discovery
  • Download, organize, and chart medical records and subpoenaed documents (SDTs)
  • Contact record vendors (e.g., ABI, COMPEX) for updates and missing records/films
  • Handle requests for approval of films and quotes
  • Download links and save documents to case files
  • Calendar due dates for discovery, depositions, and other litigation milestones
  • Assist with expert retention:
  • Draft retention letters
  • Forward records and materials
  • Prepare expert files (3 days before deposition) and calendar deadlines
  • Draft Case Management Conference (CMC) statements for attorney review
  • Assist with trial preparation including exhibits, notebooks, and general support
  • Prepare and serve initial discovery and deposition notices

What We’re Looking For

  • 1+ years of administrative experience, preferably in a legal or professional services setting
  • Strong organizational and time management skills
  • Proficiency in Microsoft Office Suite (especially Outlook and Excel)
  • Excellent written and verbal communication skills
  • Ability to maintain confidentiality and handle sensitive information
  • Familiarity with legal terminology and litigation procedures is a plus
