Position Overview

Reporting to the Vice President Development, the Assistant supports the VP across the three areas she oversees: Development, Events, and Volunteer & Community. This individual keeps the VP’s day to day running smoothly, prepares meetings and materials, helps information move clearly between the three teams, and tracks priorities and follow-ups so nothing slips through the cracks. Over time, this role has room to take on more responsibility.


The Assistant will work Monday-Friday at 5830 W. Jefferson Boulevard, Los Angeles, CA 90016. The work is performed in an office setting and is currently on site 4-5 days per week.


Duties and Responsibilities

  • Manages the VP’s calendar and scheduling, including coordinating meetings across the Development, Events, and Volunteer & Community teams.
  • Prepares agendas and materials ahead of meetings, takes notes, and tracks follow-up items through to completion.
  • Helps information move clearly between the three teams so the VP has what she needs.
  • Build templates, collect information from team members, and assemble materials for leadership and board meetings.
  • Handles scheduling, logistics, and materials for the VP’s donor meetings, including room setup and follow-up tracking.
  • Supports the VP’s involvement across events and volunteer activities, coordinating her schedule, materials, and follow-ups without duplicating the Events or Volunteer & Community teams’ own work.
  • Tracks ongoing priorities and deadlines across the three areas and flags anything that needs the VP’s attention.
  • Provides general administrative support, including expense reports, travel arrangements, and correspondence.
  • Provides onsite support for development and programmatic events such as Gala, distributions and volunteer sessions, as needed. Some events may occur on the weekend.
  • Supports the creation and upkeep of operational documents and team protocols.
  • Monitors and triages email and requests that come to the VP, responding directly or routing to the appropriate team member.


Required Qualifications

  • Bachelor’s Degree.
  • Dedication to the mission of Baby2Baby.
  • 3+ years of administrative or coordination experience, ideally supporting a senior leader or working across more than one team.
  • Strong organizational skills and the ability to juggle priorities across more than one area at a time.
  • Strong computer skills including knowledge of MS Office and Google Suite; experience with Airtable and a CRM, preferred.
  • High work ethic and commitment to personal professional development.
  • Team player who works well with colleagues at all levels.
  • Excellent attention to detail and follow-through.
  • Clear, professional written and verbal communication.
  • Discretion and good judgement when handling sensitive information, including comfort working with board members, major donors, and high-profile individuals.
  • Flexible, skilled problem-solver and self-starter.
