About The Job:

In this Project Management role, you will oversee the planning, execution, and delivery of advertising projects for specific clients, ensuring they are completed on time, within budget, and to the highest quality standards. You will collaborate with cross-functional teams and help ensure the agency provides excellent service to clients across Marketing, Creative, Digital, Strategy, and Account Management, and drive process improvements. You will communicate directly with clients, instilling the utmost confidence that their projects are prioritized, organized, and thoughtfully executed.

Responsibilities:

  • Team Leadership and Collaboration
    • Implement project management methodologies and best practices to streamline processes and maximize efficiency through working in Asana, our PM tool.

    • In conjunction with department leads, play a pivotal role in forecasting to ensure staffing needs are aligned, and work balance is implemented across all departments.

    • Foster a collaborative and positive work environment, encouraging teamwork, cross-functional collaboration, and communication.

  • Project Planning and Execution
    • Work with a variety of clients, each with shifting scopes, priorities, and budgets, to deliver a seamless, effective project management experience.

    • Collaborate with internal stakeholders, including account managers, creative teams, and clients, to understand project requirements and objectives.

    • Allocate resources, including personnel, budget, and equipment, to ensure successful project execution.

    • Develop and maintain project schedules, track progress, and identify potential risks or issues.

    • Delegate tasks effectively, monitor workloads, and ensure projects are appropriately staffed.

    • Highly collaborative with other agency vendor teams.

  • Client Communication and Relationship Management
    • Serve as a primary point of contact for internal teams and clients regarding project status, timelines, and deliverables.

    • Communicate project updates, assist with managing client expectations, and proactively address any concerns or issues.

    • Develop and maintain strong team and client relationships to ensure exceptional client satisfaction.

    • Collaborate with account managers to identify upsell or cross-sell opportunities and contribute to client retention.

  • Quality Assurance and Risk Management:

    • Initiate regular project reviews to identify areas for improvement and implement corrective actions.

    • In partnership with the Account Managers, monitor project financials, including budget tracking, cost control, and profitability analysis.

  • Reporting and Documentation
    • Prepare and present regular project status reports to clients, stakeholders, and agency leadership.

    • Maintain accurate project documentation, including project plans, meeting minutes, and relevant project artifacts.

    • Ensure timely and accurate project billing and invoicing in collaboration with the finance department.

Requirements:

  • Bachelor's degree in Advertising, Marketing, Business Administration, or a related field.

  • 3+ years of experience in project management within the advertising industry, preferably in an agency setting.

  • Proven track record of successfully managing multiple advertising projects simultaneously.

  • Strong leadership and team management skills, with the ability to motivate and inspire a team.

  • Excellent communication, negotiation, and interpersonal skills.

  • In-depth knowledge of project management methodologies, tools, and best practices.

  • Proficiency in project management software, collaboration tools, Google Workspace, and Microsoft Office Suite.

  • Strong organizational and problem-solving abilities, with a keen attention to detail.

  • Ability to work under pressure, meet deadlines, and adapt to changing priorities.
