Job description

Job Summary
This position serves as project coordinator for printed donor communication projects. These communication projects include donor receipts and acknowledgments, fundraising letters, and other special projects. This position is also responsible for processing donor book requests and managing inventory. The person in this role will maintain the high level of attention to detail that is required for these projects.
Duties/Responsibilities
Project Management
  • Manage production schedule for fundraising letters/direct mail appeals. Ensure that proper approvals are received.
  • Manage schedule for data required for fundraising letter mailings, ensuring data is available when required.
  • Serve as contact for consultants who assist in direct mail projects. Process invoices.
  • Coordinate special printed donor communication, such as the Student Thank-A-Thon notes, the Spring Package mailing, and the new donor welcome series.
  • Assist Advancement Editor/Grant Manager by proofreading donor communication, as requested. Utilize Track Changes in MS Word.

Donor Communication
  • Utilize the features of the Advancement database to generate all receipts for gifts to the Seminary.
  • Review receipts daily for accuracy, with a focus on the details.
  • Generate acknowledgment letters for gifts to the Seminary. Review and proofread acknowledgments.
  • Coordinate premium/book fulfillment by sending requests to distribution centers.
  • Manage year-end acknowledgment process.

Inventory Management
  • Monitor inventory of receipt paper and envelopes and order new inventory, as needed.
  • Allocate premium/book inventory. Ensure that books are available for fulfillment per the campaign schedule.
  • Coordinate other donor communication inventory, as needed.

Administrative Responsibilities
  • Review and respond to special donor requests. Provide excellent customer service to donors, including emailing or calling them to respond to their requests.
  • Update records in the Advancement database as requested by other members of the Advancement team.
  • Assist with Advancement team projects and events.

  • Proficient with Microsoft Office software, specifically Word and Excel.
  • Comfortable with learning new database platforms. Awareness of platforms such as Studio Enterprise, Raiser's Edge, Salesforce, or other comparable platforms a plus.
  • Excellent organizational and proofreading skills.
  • Able to complete the same tasks each day while maintaining interest and focus on details.
  • Flexible when given multiple projects.
  • Self-motivated and able to work independently.
  • Positive attitude when interacting with coworkers and DTS donors.
  • Support for the mission of DTS and the importance of fundraising on behalf of the Seminary.

Education and Experience
  • Bachelor's degree preferred.

Physical Requirements:
  • Prolonged periods of sitting at a desk and working on a computer.
