Position to be filled: Executive Administrative Assistant

Required Qualifications/Essential Duties:

  • High School Diploma or GED
  • Three (3) years of increasingly responsible administrative experience, including experience supporting executive leadership, boards, commissions, or similar governing bodies.
  • One (1) year of experience with basic financial and administrative support functions related to this position, including data entry, processing purchase or budget-related requests, and reconciling expense documentation.
  • Must be Insurable by the company's insurance carrier and maintain throughout employment
  • Must able to obtain a California Gaming License and maintain throughout employment
  • Valid California Driver's License


  • Coordinate and manage Gaming Commission meeting agendas.
  • Maintain official records of Gaming Commission proceedings, resolutions, and supporting documentation.
  • Provide administrative support for Commission-related committees, hearings, and special meetings, as assigned.
  • Maintain and coordinate calendars for the Gaming Commissioners, including scheduling meetings, appointments, and regulatory obligations.
  • Coordinate travel arrangements, including itineraries, lodging, transportation, and required documentation.
  • Prepare reports, presentations, briefing materials, and correspondence for Commissioners and Gaming Commission activities.
  • Track Commission-related expenses, process invoices, and assist with budget tracking and reconciliation activities.
  • Reconcile Commission credit card statements and maintain supporting documentation for financial transactions.
  • Assist with procurement processes, including purchase requests, supply orders, and vendor coordination.
  • Maintain office supply inventory and ensure availability of materials necessary for Commission operations.
  • Participate in training and demonstrate proficiency in meeting coordination, minute-taking, and administrative support functions within an established timeframe.
  • Utilize standard business software and systems, including Microsoft Office and applicable project or records management tools.
  • Maintain strong organizational, writing, editing, proofreading, and document formatting skills.
  • Conduct work in a service-oriented, professional, and respectful manner with all individuals.
  • Maintain effective working relationships with Commissioners, Tribal leadership, employees, vendors, regulators, and community members
  • Maintain strict confidentiality of all Gaming Commission business, regulatory matters, and sensitive information.
  • Exercise sound judgment, discretion, and professionalism in handling confidential and sensitive situations.
  • Manage multiple priorities, deadlines, and competing requests in a fast-paced environment.
  • Uphold ethical standards and professional conduct in all interactions and responsibilities.

Reports To: Gaming Commission

Starting Rate of Pay: $32.00 (Non-Exempt)

Approximate Hours: 40+ hrs per wk
