Job description

Administrative Support Assistant


Summary: The Administrative Support Assistant is responsible for overseeing and coordinating the day-to-day activities within an organization. This role involves managing processes, implementing efficient systems, and ensuring that different departments work cohesively.


Essential Duties and Responsibilities: 

  • Clerical, administrative and warehouse activities such as receiving products, input, sorting, bills of lading and all other duties as assigned.
  • Ordering parts for the shop which includes adding parts to ASW system, advance replacements, requesting follow ups on old purchase orders while updating spreadsheet.
  • Overseeing inventory of general office supplies and request for restock.
  • Entering trades on Trade in Power App and Betson Equipment Credit into ASW system.
  • Assist in maintaining the open equipment orders portal including allocation requests from Trade in Power App, updating allocations based on reception notes, updating configuration for equipment orders.
  • Taking GO SERNO notes (ASW system function) and equipment class conversions.
  • Responding to or making sure responses are handled via various group emails. (Bensenville Equipment, Warehouse, etc.)
  • Assisting with inventory corrections, movements, discrepancies.
  • Assisting with customer service queue in the afternoons including transfers, occasional support or messages fielded.
  • Taking Bensenville, IL meeting minutes.
  • Overseeing credit card approvals for travel team.
  • Handing freight claims.
  • Back up for transportation by requesting freight, bill out equipment delivered or shipped, add work to shop queue (new or used), generating branch equipment orders.
  • Verification of quality control process for equipment and trucks. (make sure pics are uploaded, truck checkout sheets, etc.)
  • Provide admin support for technicians and installers by providing customer property repair and service repairs.
  • ASW order entry: customer property repair, service repairs, storage tickets, etc.
  • Follow up with manufactures/suppliers on service orders and updating status, eta’s and tracking information.
  • Answering questions regarding parts orders, tracking, status and eta’s.
  • Assist with collecting and returning defective advance replacement and loans items back to suppliers.
  • Order parts as needed for refurbishing games.
  • Adding parts to open service repairs as parts come in.
  • Maintaining excel prep lists and refurbishment lists for the Bensenville, IL branch open orders.
  • Enquiring with manufacturers on open parts purchase orders.
  • Assist with monthly mech and validator inventory.
  • Assist with yearly parts inventory.
  • Confirm that parts are in for a given asset and assign the asset to a technician.
  • Update and maintain the shop spreadsheet daily.
  • Update and maintain open order portal daily.
  • Process trade-in orders as needed and order parts for the refurbishment of the games.
  • Facilitate weekly shop meeting.
  • Manage and reconcile credit cards for all Bensenville, IL employees monthly.
  • Perform additional duties as assigned.
