Job description:

We are looking for a reliable, detail-oriented individual to join our team as an Administrative Assistant. This is a task-focused role centered on high-volume scheduling and report management.  The ideal candidate will have experience with permitting, scheduling, and working effectively with municipalities.

Duties:

· Receive and log in of plans, specifications and other information received for plan review and other types of requested work, create and maintain plan review files.

· Roll plan maintenance – returning/destroying plans/specifications.

· Proofread and appropriately edit plan review and other types of reports.

· Forward plan review reports and other correspondence to appropriate client.

 - Email and electronically fax reports and reviews to clients.

· Send notice of receipt of plans and other information.

· Format in MS Word reports and reviews.

· Contact clients, architects, developers, etc. by phone for information needed for project completion.

· Customer service to clients regarding plan review information.

· Record inspection requests.

· Coordinate, confirm, and prepare daily schedule of inspections.

· Completion/collection of inspection reports.

· Data entry of inspection results.

· Maintain and update “installment sheet” to keep track of inspection fees.

· Route project files to appropriate person to assure proper establishment of inspection fees.

· Preparation of municipal reports monthly.

· Routing to receivables confirmation of billing and payment for inspections.

· File maintenance.

· Customer service, telephone contact with municipalities requesting inspections.

Job Type: Full-time

Schedule:

7:30 am - 4:30 pm Monday - Friday

Work Location: In person

Salary: $20.00 - $22.00 per hour
