DESCRIPTION

TITLE: Medical Office Clerk
LOCATION: Davis-Monthan Air Force Base - Tucson, AZ 85756
HOURS: Monday through Friday - 9-hour shifts including 1-hour unpaid meal breaks between the hours of 6am to 6pm.
SUMMARY
  • Provides clerical/administrative support in wards, clinics, or other departments of a medical treatment facility.

QUALIFICATIONS:
  • A fully qualified typist with a minimum of 50 WPM is required.
  • General medical ethics, telephone etiquette, and excellent communication and customer service skills.
  • General office administrative and clerical skills to perform receptionist duties and answer telephones.
  • Ability to communicate effectively, both orally and in writing.
  • High school diploma or General Educational Development (GED) equivalency. Medical terminology desired.
  • At least 12 months of experience in office setting.
  • The work is primarily sedentary. However, there may be some physical demands.
  • Requirements include prolonged walking, standing, sitting or bending.
  • Basic Life Support (BLS) certifications using American Heart Association or American Red Cross guidelines. Members must present proof of current certification(s) through American Heart Association or American Red Cross is required.

RESPONSIBILITIES: include, but not limited to:
  • Utilization of the following unique military health care systems/procedures:
  • Composite Health Care Systems (CHCS).
  • Armed Forces Health Longitudinal Technology Application (AHLTA).
  • Defense Enrollment Eligibility Reporting System (DEERS).
  • Military Filing System - by sponsor's social security, terminal digit order, color-coded and blocked filing system.
  • Contents of a military medical record , layout, sections, family members prefix designation, forms used in a Military Treatment Facility (MTF), and medical record tracking procedures.
  • Greet patients/visitors at a front desk, information center or office setting.
  • Answer main office phone line and direct telephone calls to appropriate section for assistance. Take messages as required.
  • Arrange and schedule medical appointments, determine patient eligibility for services, provide general instructions to patients, and make referrals to other sections.
  • Obtain updates and file medical records as needed.
  • Organize and research patient records, extract needed information, and review records for completeness, accuracy, and consistency within established guidelines.
  • Ensure arrival of medical records prior to appointment(s).
  • Initiate and locate patient medical records as needed.
  • Obtains documentation as requested by healthcare providers (test results, or documentation not yet filed in records).
  • Perform other administrative and clerical duties in support of the medical care and operational support.
  • Create appointment schedules and templates in patient appointment computer system.
  • Conduct end-of-day process at close of business day and resolve any delinquent or pending appointments in computer system.
  • Summary. Provides clerical/administrative support in wards, clinics, or other departments of the MTF.

Job responsibilities are subject to change to meet Military Treatment Facility requirements. Additional immunization record, security and background check requirements are also considered as qualifying criteria.
