This role serves as a key member of the Legal & Compliance team, providing a unique blend of strategic expertise and executive support to the Chief Legal Officer (CLO). The position is responsible for supporting legal & compliance operations, advancing sustainability and ESG initiatives, and enabling the effective execution of the CLO's priorities. The ideal candidate blends exceptional judgment, advanced digital/AI fluency, and practice problem-solving to manage complex logistics, executive priorities, and high-visibility interactions with key internal and external stakeholders.

Primary Duties:

Executive Partnership & Calendar Leadership:

  • Own and strategically optimize the CLO's calendar, aligning time to top priorities and enabling effective decision-making.

  • Anticipate needs, prepare materials, and ensure the CLO is fully briefed and positioned for all engagements.

  • Manage leadership meeting cadence (staff meetings, etc) with clear agendas, outcomes, and follow-through items.

Global Travel & Logistics:

  • Lead end-to-end domestic and international travel, including complex, multi-stop itineraries, accommodations, and transportation.

  • Manage visa requirements, customs documentation, and international compliance logistics.

  • Monitor changes and proactively adjust plans to ensure seamless execution and minimal disruption.

AI-Enabled Productivity & Digital Excellence:

  • Leverage AI tools (e.g., Copilot) and Microsoft 365 to streamline workflows, draft communications, and enhance productivity.

  • Serve as a digital power user across Microsoft 365 (Outlook, Teams, PowerPoint, Excel, OneNote, Planner).

  • Support creation of high-quality executive-ready presentations, reports, and communications.

Events, Culture & Workplace Experience:

  • Lead planning and execution of Legal & Compliance team events.

  • Serve as a culture ambassador, role modeling company values through interactions, decision-making, and execution.

  • Support quarterly all hands meetings.

Communication & Stakeholder Management:

  • Draft and manage executive communications, including internal announcements, leadership updates, and external correspondence.

  • Serve as a trusted liaison to senior executives and external partners.

  • Handle highly sensitive and confidential information with discretion and sound judgment.

Administrative & Operational Excellence:

  • Manage expenses, budgets, and vendor coordination in alignment with company policies.

  • Support onboarding for new leadership hires and coordinate office operations and materials as needed.

  • Composes and types correspondence from rough drafts and makes changes in grammar, punctuation, and spelling as needed. Organizes and maintains confidential files, correspondence, and records.

  • Coordinates other group needs including printing, presentation preparation, ordering office supplies, and meeting support.

Legal and ESG Support:

  • Provide legal support through billing, document drafting, legal technology, contract review, , and preparation of legal materials.

  • Support Sustainability and ESG initiatives through reporting submissions and audits, ESG technology, and collaboration with cross-functional partners.

Knowledge, Skills and Abilities Required:

  • 3+ years' secretarial/clerical experience or equivalent skills and abilities in a fast-paced, global organization; legal assistant or paralegal experience a strong plus

  • Proven experience managing complex calendars, international travel, and executive operations

  • Strategic calendar management mindset (not transactional scheduling)

  • AI and digital fluency with demonstrated ability to leverage tools to improve productivity

  • Exceptional organizational, prioritization, and project management skills

  • Strong business judgment, discretion, and executive presence

  • Advanced written and verbal communication skills

  • Ability to navigate ambiguity, anticipate needs, and act proactively

  • Advanced proficiency: Microsoft 365 (Outlook, PowerPoint, Excel, Teams)

  • Experience with AI productivity tools (e.g., Copilot) strongly preferred
