Job description

We are seeking a Legal Billing Clerk to support all aspects of billing and collections by reviewing time entries, preparing and sending invoices, managing client payments, and maintaining accurate financial records. This role requires meticulous attention to detail, discretion with confidential information, and professional communication with clients on billing matters.

Key Responsibilities:

  • Review and process a high volume of attorney time entries to ensure accuracy and completeness
  • Prepare, generate, and distribute 300+ client invoices per month in a timely manner
  • Manage collections activities, including client follow-up, payment processing, and documentation
  • Reconcile and maintain client trust accounts in compliance with applicable rules and procedures
  • Enter and track client expenses in legal billing software (e.g., Clio)
  • Manage and record expense transactions (e.g., Ramp or similar platforms)
  • Submit invoices to insurance companies for reimbursement and monitor payment status
  • Assist in resolving client billing questions and disputes while maintaining professionalism and composure
  • Maintain accurate billing records, files, and documentation
  • Assist with basic financial reporting and budgeting tasks as needed
  • Protect the confidentiality of all financial and client information

Key Requirements:

  • High school diploma or GED
  • Legal, healthcare or accounting practice billing or bookkeeping/basic accounting experience
  • Prior experience in a law firm or legal office preferred
  • Basic understanding of billing and accounting principles
  • Experience with legal billing software (e.g., Clio, LawPay or similar)
  • Strong attention to detail and organizational skills
  • Ability to manage a high volume of invoices and billing tasks
  • Strong written and verbal communication skills for client inquiries and collections follow-up
  • Ability to maintain confidentiality, professionalism, and composure under pressure
