Summary
The Client Operations Coordinator owns the end-to-end operational administration of assigned renewable energy service accounts, serving as the primary liaison between customers and internal business functions. Exercise independent judgment to prioritize customer needs, coordinate cross-functional activities across Operations, Planning & Scheduling, Procurement, Finance, and Business Development, and drive work from initial request through invoicing and closeout. Through proactive account management, operational analysis, and continuous process improvement, ensure service commitments are met, customer expectations are consistently exceeded, and internal resources remain focused on core responsibilities.
Primary Duties
  • Own the day-to-day operational administration of assigned customer accounts, serving as the primary point of contact for non-technical operational matters.
  • Evaluate, prioritize, and independently resolve customer requests related to work orders, scheduling, procurement, RMAs, site access, invoicing, and service execution.
  • Coordinate activities across Operations, Planning & Scheduling, Procurement, Finance, and Business Development, applying independent judgment to align cross-functional efforts with contractual commitments and customer expectations.
  • Monitor service levels, work order aging, and account performance; proactively identify issues and initiate escalation or corrective action as appropriate.
  • Analyze work order status, technician activity, procurement data, and operational metrics within the CMMS to provide customers with accurate information and recommend appropriate next steps.
  • Own the invoicing process, including work completion validation, documentation review, invoice approval, dispute resolution, billing corrections, and aging management to support timely revenue recognition.
  • Ensure customer-required documentation, reports, photographs, and closeout packages satisfy contractual and company requirements prior to invoicing.
  • Maintain ownership of the customer relationship through issue resolution, engaging technical subject matter experts as needed while retaining accountability for communication and outcomes.
  • Identify process inefficiencies and implement workflow and administrative improvements that enhance customer responsiveness, operational efficiency, and invoice cycle time.
  • Support proposal development by identifying corrective maintenance opportunities, coordinating required documentation, and facilitating customer follow-up.
  • Develop and maintain a thorough understanding of customer contracts, service obligations, internal operating procedures, and business systems to ensure consistent execution.
  • Perform other duties requiring similar levels of responsibility and independent judgment.
Working Relationships:
Report to the Field Service Operations Manager and work closely with Field Operations, Scheduling, Procurement, Finance, Business Development, Service Partners, and Customers.
Compensation
The initial compensation will range from $74,200 to $85,350 depending on experience.
Education and Experience:
  • Education: High School diploma or equivalent.
  • Preferred Education: Bachelor’s degree from an accredited college or university recognized by the United States Department of Education or equivalent.
  • Years of Experience: Three years of experience in customer operations, service coordination, project coordination, account support, or similar operational role.
  • Preferred Experience:
    • Supporting field service or technical service organizations.
    • Knowledge of distributed generation solar or renewable energy operations.
    • Experience supporting invoice administration, customer billing, or service contract administration.
  • Software/Equipment Knowledge:
    • Experience with CMMS, ERP, or CRM (preferred)
    • Experience with PowerFactors Field Service Management (preferred)
  • Other Considerations:
    • Able to manage multiple priorities in a fast-paced environment.
    • Strong organizational skills with exceptional attention to detail.
    • Excellent customer service and communication skills.
    • Strong analytical and problem-solving skills.
    • Able to coordinate multiple internal stakeholders while maintaining exceptional customer communication.
    • Understanding of field service operations, work order management, and customer service workflows.
