The Senior Client Service Associate is an experienced client service professional who independently manages high-touch client service and serves as a trusted partner to clients and prospects, Wealth Advisors, and internal teams. The Senior Client Service Associate is a primary contact for client service needs and is expected to exercise sound judgment, anticipate needs, and independently manage complex service matters in a fast-paced environment.

This role takes ownership of complex client requests, onboarding and transition activities, meeting preparation, account administration, and multi-step client projects from initiation through completion. The Senior Client Service Associate anticipates client service and advisor support needs, resolves routine service issues before they escalation, and coordinates effectively across advisory, investment, operations, trading, tax, billing, and other support teams.

The Senior Client Service Associate also serves as a resource and mentor to Client Service Associates by providing guidance, reviewing work, sharing firm knowledge, and supporting their development. This position does not have formal people-management responsibility.

This position is based in the greater Bellevue/Seattle area. We anticipate a hybrid work arrangement, with regular in-office collaboration expected approximately 1-3 days per week. Remote work flexibility is supported, along with occasional travel.

• Act as a confident and trusted point of contact for client and prospect relationships, responding to internal and external needs with professionalism, sound judgment, and appropriate urgency.
• Develop a strong understanding of each client’s household, preferences, service history, and ongoing service needs.
• Anticipate client service needs and proactively communicate developing issues, upcoming requirements, or follow-up needs to the advisory team.
• Independently manage a high volume of client interactions and prospect-related service coordination, including inquiries, meeting logistics, service requests, and follow-up.
• Own client requests from initial receipt through completion, setting clear expectations and providing timely updates to clients and internal team members.
• Resolve routine internal and external issues independently and escape material, sensitive, or unusual matters with appropriate urgency.
• Adapt communication style and approach based on the client, situation, and subject matter.
• Facilitate strong relationships between clients and prospects, and the broader Threadline Wealth advisory and operational teams.
• Support client experience initiatives, including recognition of significant life events and other personalized client activities.

• Independently coordinate the service and administrative activities associated with client onboarding, account transitions, and significant client life events involving multiple accounts, entities, custodians, or internal teams.
• Prepare, review, and track internal and custodial documentation, client communications, CRM records, and required follow-up.
• Conduct quality-control reviews to confirm documentation is complete, accurate, and consistent before submission or processing.
• Gather, organize, and maintain prospect and client information in Microsoft Dynamics, Laserfiche, custodial platforms, and other internal systems.
• Monitor data accuracy and integrity across systems and resolve discrepancies or incomplete information.
• Process complex client service requests through established workflows and coordinate with the appropriate internal teams.
• Track outstanding items, identify potential delays, and drive timely completion of client and account-related tasks.

• Serve as a proactive partner to advisory teams by anticipating client service needs, upcoming deadlines, meeting requirements, and necessary follow-up.
• Keep advisory teams informed of client matters, project status, service issues, and competing priorities.
• Independently coordinate the preparation, organization, and quality review of client meeting materials, reports, presentations, and supporting documentation.
• Coordinate multi-step client projects across advisory, investment, operations, trading, tax, billing, and other teams.
• Organize team meetings, prepare agendas, document decisions, and track action items through completion.
• Proactively manage advisor calendars for client-related meetings, including scheduling, logistics, preparation, and follow-up.
• Support prospect meetings, client events, and advisor business development activities through scheduling, material coordination, and follow-up.
• Monitor client service activity for changes, risks, or follow-up needs and ensure relevant information is communicated to the appropriate Wealth Advisor.

• Demonstrate proficiency in firm systems, workflows, standard operating procedures, and service-delivery processes.
• Identify incomplete information, workflow breakdowns, service delays, or potential risks and take appropriate action to resolve or escalate them.
• Recommend practical improvements to procedures, systems, and service workflows.
• Participate in the development, testing, and implementation of new processes, technologies, and firmwide initiatives.
• Partner with Compliance, Operations, and other teams to support consistent, efficient, and appropriately controlled client service practices.
• Balance complex client relationships and projects while maintaining accuracy, responsiveness, and clear communication.
• Support consistent and effective use of approved systems, procedures, and service workflows, and identify opportunities to improve efficiency.

• Serve as a knowledgeable resource to Client Service Associates regarding firm processes, systems, client service, and problem-solving best practices.
• Provide day-to-day guidance, practical feedback, and support to junior team members.
• Review selected work products for completeness, accuracy, and adherence to established procedures.
• Coordinate appropriate workflow components with Client Service Associates while retaining responsibility for the overall client service outcome.
• Support the onboarding and training of new Client Service Associates.
• Share knowledge, best practices, and practical solutions that strengthen consistency and service quality across the team.
• Model professional judgment, accountability, responsiveness, and proactive client service.

• High school diploma or equivalent required; bachelor’s degree preferred.
• At least three to five years of relevant client service, account administration, operations, or similar professional-services experience, preferably within wealth management, investment advisory, or financial services.
• Demonstrated ability to independently manage internal and external responsibilities and complex, multi-step requests.
• Experience working directly with clients and professional advisors in a fast-paced environment.
• Experience supporting, training, or providing guidance to less-experienced team members.
• Proficiency in Microsoft Office and demonstrated ability to learn and use CRM, document-management, custodial, and financial-services platforms.
• Strong written and verbal communication skills.
• Sound judgment and the ability to recognize when a matter can be resolved independently and when escalation is appropriate.
• Ability to prioritize and manage multiple responsibilities while maintaining accuracy and meeting deadlines.
• Ability to maintain professionalism, exercise discretion, and protect confidential client and firm information.

• Base Salary : $79,000 to 108,000 commensurate with experience. This position is classified as nonexempt and is eligible for overtime compensation in accordance with applicable law and firm policy. Additional discretionary compensation may be available based on individual and firm performance.
