Operations & Client Service Associate

About

Scherer Financial Advisory Services is a well-established RIA in the Dallas/Plano area. We work with pre-retirees, retirees, and high-net-worth households whose financial lives have grown complex enough that real coordination matters.

About half of the work is direct client service — building relationships with the people we serve, helping them navigate everyday account questions, and being the steady voice on the phone. The other half is operations — the detail-intensive work of keeping a financial advisory practice running cleanly. Both halves carry equal weight, and the person we are looking for genuinely enjoys both.

You'll own real work. In a small RIA, every seat matters. You'll see the whole picture, take real ownership, and your judgment will show up in the client experience.

We're built for the long haul. We are not a high-turnover firm. We are looking for someone who wants to grow into the role and stay.

Client service responsibilities

• Build trusted relationships with our clients through regular, warm, professional interactions — by phone, by email, and in person when they visit the office.

• Greet clients and visitors when they come in. You are the first face and the first voice of the practice.

• Answer client questions about account balances, transfers, distributions, and general account information.

• Coordinate money movement transactions (cash raises, distributions, transfers) at the direction of the advisor.

• Onboard new clients — preparing account paperwork, coordinating asset transfers from prior custodians, and walking clients through the documentation.

• Help clients enroll in and use our digital tools (custodian portal, e-signature, secure document sharing).

• Prepare materials for client review meetings and prospect presentations — agendas, performance reports, planning documents.

• Manage the calendar, schedule client meetings, and coordinate logistics so the advisor team can focus on the client conversation.

Operations & administrative responsibilities

• Maintain the CRM with accurate, current, and detailed information.

• Process daily account activity, account openings and closings, and miscellaneous account maintenance through our custodian (Raymond James).

• Support the Chief Compliance Officer with annual compliance updates, SEC compliance calendar maintenance, and SEC/FINRA license renewals.

• Prepare and process quarterly client billing.

• Manage office operations — supplies, equipment, mail, shipping, kitchenette, vendor relationships, and facility coordination.

• Coordinate with IT support as needed for equipment and software needs.

Discreet and professional. You'll have access to sensitive financial information, personal histories, and family dynamics. Discretion is non-negotiable.

A team player. The right person collaborates easily and is comfortable both leading their own work and supporting someone else's.

Education, experience & skills

• High school diploma required; college degree preferred.

• Two or more years of financial services experience strongly preferred (RIA, wirehouse, broker-dealer, or trust company).

• Working knowledge of financial services products — equities, bonds, mutual funds, annuities, managed accounts — is a significant plus.

• Advanced Microsoft Office skills (Word, Excel, Outlook, PowerPoint).

• Experience with a CRM system.

• Goal-oriented, self-motivated, and results-driven.
