Help Tampa Homeowners Stay Safe in Their Homes
At Rebuilding Together Greater Florida (RTGFL), we do more than repair homes-we help families stay in them.
In the Tampa community, many homeowners are living in unsafe or deteriorating conditions and don't know where to turn. That's where we come in.
We provide critical home repairs, accessibility modifications, and disaster recovery services to ensure low-income homeowners can live safely, independently, and with dignity.
We are seeking a compassionate, organized, and people-focused Intake & Client Relations Assistant to serve as the first point of contact for homeowners seeking help.

Position Overview
As the Intake & Client Relations Assistant, you are the front door to our programs.
You will guide homeowners through the intake process from initial contact through project completion, ensuring they feel supported, informed, and respected every step of the way.
This role requires strong communication, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Reports to: Program Manager
Works closely with: Intake & Client Relations Manager and Program Team
Key Responsibilities
Client Intake & Support
  • Serve as the first point of contact for homeowners before, during, and after services
  • Guide clients through the application and eligibility process
  • Review applications, verify documentation, and conduct phone assessments as needed
  • Clearly communicate program requirements, timelines, and next steps
  • Ensure all required documents are completed at project opening and closeout

Scheduling & Coordination
  • Schedule site visits with program and construction staff
  • Coordinate with partner organizations, community groups, and neighborhood associations for referrals
  • Support coordination of outreach events and volunteer activities in collaboration with Marketing and Programming teams

Community Outreach & Intake Support
  • Support outreach efforts led by Marketing and Programming, including participation in community events, tabling activities, and partner engagements as needed
  • Represent RTGFL professionally in the community by assisting homeowners and answering questions about available programs
  • Provide on-site or event-based application support to help convert interested homeowners into completed applications
  • Coordinate with Marketing and Program teams to ensure outreach efforts align with program eligibility, priorities, and capacity
  • Assist in identifying trends or gaps in applicant flow to support targeted outreach strategies

Compliance & Recordkeeping
  • Maintain accurate and complete client records in Salesforce and internal systems
  • Ensure all documentation meets grant, program, and contract requirements
  • Support identification of target populations for new grants and outreach efforts

Administrative & Operational Support
  • Answer phones, return calls, and provide professional client communication
  • Support daily office operations and assist the Program Manager as needed
  • Track client status, project progress, and required follow-ups

District Alignment & Collaboration
  • Collaborate with the Intake & Client Relations Manager to maintain consistent intake practices across districts
  • Participate in team meetings, trainings, and process updates
  • Help ensure consistency in client communication, documentation, and procedures

Qualifications
  • Strong customer service and communication skills
  • Highly organized with strong attention to detail
  • Ability to manage multiple tasks and meet deadlines
  • Comfortable working with diverse populations
  • Experience in community programs, nonprofit work, or construction-related environments is a plus
  • Proficiency in Microsoft Office and web-based systems (Salesforce preferred)
  • Bachelor's degree or equivalent experience
  • Valid driver's license and reliable transportation required (regular travel within the Tampa service area for site visits, outreach events, and community engagement)
  • Flexibility to work occasional evenings and weekends based on outreach or event needs
