Job description

Join our team as a Bilingual (Spanish) Office Receptionist/Intake at our Tampa law office. We are looking for an organized, personable, and dependable individual who can help keep the office running smoothly while providing a welcoming experience for clients, visitors, and potential new clients.

This position combines general office coordination, client communication, and intake support. While you will serve as a point of contact for individuals visiting or contacting our Tampa office, this is not solely a receptionist position. You will assist with day-to-day office operations, projects, client intake, file and office organization, and other tasks that support our legal and administrative teams.

The ideal candidate is comfortable speaking with people, takes initiative, pays attention to detail, and can confidently communicate in both English and Spanish. Prior legal experience is helpful but not required.

Responsibilities

  • Welcome clients, visitors, vendors, and other guests to the Tampa office in a friendly and professional manner.
  • Communicate with clients and potential new clients in both English and Spanish, in person, by phone, text, and email.
  • Assist with new client intake, including gathering initial information, documenting details accurately, and entering information into the appropriate system.
  • Help potential clients complete intake forms and other required documents.
  • Assist with follow-up communication with potential new clients and ensure inquiries are directed to the appropriate team member.
  • Identify time-sensitive or urgent client inquiries and promptly communicate them to the appropriate team.
  • Support general office operations, including email correspondence, scanning, saving and organizing documents, data entry, filing, and preparing correspondence.
  • Maintain organized electronic files and ensure documents are saved accurately.
  • Help maintain office supplies, common areas, conference rooms, and overall office organization.
  • Receive and distribute mail, deliveries, and documents*
  • Provide general support to attorneys, case management, intake, marketing, and administrative staff as needed.
  • Maintain professionalism and confidentiality when handling client and case information.

Experience & Qualifications

  • Bilingual in English and Spanish required, with strong verbal communication skills in both languages.
  • Previous office, customer service, or client-facing experience preferred.
  • Legal office experience is a plus, but not required.
  • Comfortable speaking with potential clients and gathering information in a professional and compassionate manner.
  • Proficiency with Microsoft Office, including Word, Excel, and Outlook, and the ability to learn new software and systems.
  • Strong organizational skills and attention to detail.
  • Ability to accurately enter information, maintain records, and manage multiple tasks.
  • Professional written and verbal communication skills.
  • Friendly, approachable demeanor with strong customer service skills.
  • Ability to prioritize responsibilities and adapt to the changing needs of a busy office.
  • Dependable, punctual, and comfortable working both independently and as part of a team.
  • Willingness to take initiative and assist wherever needed to help keep the office running efficiently.
