Job description

Dahlia's Wellness Center & Medspa is seeking a friendly, organized, and professional Patient/Client Coordinator to join our growing team.
As the first point of contact for our clients, you will play a key role in creating an exceptional client experience while supporting daily operations, scheduling, communication, and client retention.
Tuesdays-Saturdays | Passaic, NJ

Dahlia's Wellness Center is a family-owned, physician-led, bilingual wellness and aesthetic practice dedicated to providing exceptional care, personalized treatment plans, and a welcoming client experience. We believe in building lasting relationships through education, integrity, and genuine care, helping our clients look and feel their best with confidence.

We are looking for someone who is:

• Comfortable building relationships with clients
• Confident speaking on the phone and following up with leads
• Organized, proactive, and detail-oriented
• Coachable and eager to learn
• Passionate about wellness, beauty, skincare, and client care
• Comfortable discussing services, promotions, and treatment options with clients

Responsibilities:

Client Communication
• Answer phones, texts, emails, and online inquiries
• Schedule and confirm appointments
• Follow up with prospective and existing clients
• Assist with client retention and rebooking
Front Desk Operations
• Check clients in and out
• Manage intake forms and client records
• Support daily office operations
• Maintain a clean, organized, and welcoming reception area
Sales & Client Experience
• Educate clients on services, packages, and promotions
• Assist with package and product sales
• Request reviews and testimonials
• Help create a positive, luxury client experience
Qualifications

• Excellent communication and customer service skills
• Organized, reliable, and detail-oriented
• Comfortable using phones, social media, texting, and scheduling software
• Sales experience preferred
• Bilingual (English/Spanish) preferred
• Medspa, spa, medical office, salon, or hospitality experience preferred
