Job description

Key Responsibilities

1. Order Fulfillment & Sales Operations

  • Review, verify, and process customer purchase orders.
  • Coordinate with Procurement, Production, and Shipping teams to confirm delivery schedules and shipping methods.
  • Collaborate with internal teams to ensure on-time deliveries and support expedited shipment requests when necessary.
  • Review customer purchase orders, payment terms, credit limits, and shipping requirements. Propose and coordinate alternative shipping or payment solutions when appropriate.
  • Prepare quotations and verify product availability and lead times for customer inquiries.
  • Prepare packing lists, invoices, and monitor payment status.
  • Maintain proactive communication with customers via email and phone regarding orders, shipments, and related inquiries.

2. Customer Service & Account Support

  • Build and maintain strong relationships with customers by providing responsive and professional support.
  • Work cross-functionally to deliver outstanding customer service and ensure customer satisfaction.
  • Coordinate with Quality, and Production and Business Development teams to address production, delivery, and quality-related issues
  • Support Field Application Engineers (FAEs), Project Managers and Business Development Managers (BDMs) as needed in resolving customer technical inquiries in a timely manner.
  • Support RMA team as needed to communicate repair status, replacement schedules, and product return timelines with the customers.

3. Sales & Business Development Support

  • Assist with new customer account setup, credit applications, and vendor registration processes.
  • Support Business Development Managers by preparing quotations and following up on sales opportunities and new leads.
  • Maintain and update customer records and CRM data within the assigned territory.
  • Assist Business Development Managers with sales reporting and data analysis.
  • Perform other duties and special projects as assigned.

Qualifications

  • Bachelor's degree or equivalent combination of education and 2+ years of relevant work experience.
  • Experience in order fulfillment, inside sales, customer service, or sales operations is preferred.
  • Strong sense of urgency with a proven ability to execute tasks efficiently and deliver results.
  • Excellent written and verbal communication skills.
  • Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
  • Self-motivated, adaptable, and capable of working both independently and collaboratively.
  • Professional, courteous, and customer-focused with excellent phone and interpersonal skills.
  • Proficient in Microsoft Office (Excel, Outlook, Word); experience with ERP or CRM systems is a plus.
  • Bilingual in English and Mandarin Chinese.
