Job description

OVERVIEW:

The Shipping Clerk carries out all designated clerical assignments issued by the operations staff in the Shipping Department. He/she also works with the Customer Service division as well as the Traffic Coordinator to insure the best possible service to our carriers and customers. This position will coordinate transportation for truck shipments, NF shipments and with customer inquiries. Will communicate with trucking companies and buyers. This position is a back up for truck scheduling. 

Key Responsibilities 

The following is a list of daily duties that are carried out as part of their every day routine. Additional assignments are designated by the shift supervisor in the department as they occur and may or may not be mentioned below. 

  • Sign up all packaging drivers- Make sure they are in the correct assigned loading door 

  • Record their name and drivers license number on the B/L 

  • Review the order for accuracy of product and pallets 

  • Assign the scale pass to the order and enter into the truck scale system. Also may include manual entry into SAP 

  • Upon completion of the load, check the order against the checkers loading record for accuracy, make changes if needed and clear the order with the foreman 

  • Give finished paperwork to the driver, enter the order into the scale system and release the driver to weigh out If the scale system is down, all info is manually entered into SAP for order processing 

  • Place new printed orders in file drawer by date and carrier 

  • Pick and post satellite orders into SAP 

  • Non-available product needs to be cleared for change by the Customer Service Manager and changes to orders are performed and re-filed 

  • Check pick up delivery numbers and scheduled loading times with the gate house guards; abort any unused scale pass numbers for the guards 

  • Check pick up delivery numbers and scheduled appointment times for the guards 

  • Make up drivers labels for gatehouse issuing use 

  • Make up various labels and placards for customer specification use on package orders 

  • Comprise a daily report of trucks shipped, truck no-shows, product cuts, inbound loads 

  • Make up Certificates of Analysis (CoA) based on lab results when automated system is down 

  • Get CoA's from the lab for orders that require them at the Satellite facility 

  • Post inbound shipments into SAP and file accordingly 

  • Post shipments from the satellite facility to the customer 

  • Sign for inbound Empty Package shipments 

  • Sign for and receive inbound Empty Pallets (Chep and Whitewood GMA) 

  • Tally all daily truck movements by shift and print a shift report 

  • Create a Hold truck list when product is not available and the truck is on site as directed by the. shipping shift supervisor 

  • General filing of daily to weekly to monthly to quarterly orders and reports 

  • Assist with customer inquiries

Job requirements

  • 3 years shipping office environment (preferred) 

LOCATION OF ROLE 

  • Baltimore, MD 

SALARY PAY RANGE: $37,000 - $65,000 

The pay rate for the successful candidate will depend on the candidate's qualifications and prior experience.
