Job description

About the Role:

We are looking for a hands-on AI Budget Development Consultant to help us automate one of our most time-intensive and manually driven business workflows using Perplexity Enterprise Pro — our enterprise AI platform. We have two core tools that currently operate independently — a Statement of Work spreadsheet that captures all the services, activities, assumptions, and effort estimates for a given clinical trial study, and a Life of Study budget workbook that captures the financial projections for that same study. Right now staff manually translate information between the two tools which is duplicative, time-consuming, and introduces variability and inconsistency — especially when protocol information is incomplete upfront.

Your job is to build a Perplexity-enabled solution that reads completed SOW content and automatically pre-populates Life of Study budget inputs — and vice versa — so that our managers and directors are refining a data-informed baseline rather than starting effort estimations from scratch every time. We have approximately 30 existing SOWs and years of historical Life of Study budgets across our active study portfolio that you will use as training examples to build and test the solution. The solution also needs to generate cost saving recommendations and flag items requiring closer review for budgeting accuracy — including areas where effort may be under-budgeted, over-budgeted, incomplete, or inconsistent with study assumptions.

This is a solo individual contributor role. There is no project manager. You own the work end to end from requirements gathering through solution development, proof of concept, implementation, and knowledge transfer

What You Will Do:

Review and deeply understand both the SOW workbook and the Life of Study budget workbook — their structure, data fields, logic, and how information flows between them

Define how Perplexity will be used to interpret and normalize SOW content into recommended Life of Study budget inputs including rules, prompts, exception handling, and required human review points

Build data mapping and business rules that connect SOW services, assumptions, units of work, estimated hours, and direct cost logic to Life of Study budget stages, effort allocation structures, and budget categories

Develop and test a prototype or minimum viable solution demonstrating how SOW information is translated into draft Life of Study budget inputs for user review and refinement

Build a review and exception framework that highlights recommended checkpoints for accuracy, missing information, unusual effort patterns, and potential under or over budgeting

Generate cost saving recommendations by analyzing how SOW services and assumptions drive Life of Study budget costs and identifying areas where effort or direct costs may be reduced with minimal impact to study quality

Test the solution using representative study scenarios and refine it for robustness, consistency, and operational usability

Manage your own project timeline, deliverables, and progress reporting to a small stakeholder group on a regular cadence

Develop documentation and knowledge transfer materials to support implementation and ongoing use and scaling of the solution after your engagement ends

What You Bring:

Hands-on AI solution building experience — you have actually built and deployed AI solutions from requirements through implementation with documented outcomes. Not a PM, not a product owner, not someone who manages teams that build AI. You do the work yourself

Prompt engineering within enterprise AI platforms — you build solutions inside a fixed platform rather than building custom infrastructure around it. You work within constraints rather than around them

Data mapping and business rules translation — you understand how structured data flows between tools and can codify those mapping rules into AI instructions that produce reliable structured outputs

Independent execution — you take general direction, build your own plan, manage your own timeline, and deliver without hand-holding

Strong communication — you keep stakeholders informed, surface blockers early, and troubleshoot quickly

Documentation and sustainability mindset — you build for the long term and produce knowledge transfer materials that allow teams to manage solutions independently after you leave

Nice to Haves

Perplexity Enterprise Pro experience:

Experience in regulated or compliance-heavy environments where data accuracy and auditability matter

Activity-based budgeting, effort estimation, or scope of work experience in any sector

Clinical trial, biotech, or life sciences background

Experience building exception handling and review frameworks

Familiarity with project portfolio management tools and workflows

Fast learner who can absorb domain knowledge quickly from subject matter experts

Additional Skills & Qualifications

Technical Skills

Experience building within enterprise AI platforms — Perplexity, ChatGPT Enterprise, Microsoft Copilot, or similar. Works within platform constraints rather than building custom infrastructure around them

Structured output design — builds AI workflows that produce consistent, predictable outputs rather than freeform text

Spreadsheet and workbook fluency — understands how data is structured and flows between tools, foundational to building the SOW to LOS budget mapping logic

Proof of concept development — moves quickly from concept to working prototype and refines based on stakeholder feedback

Exception handling and validation logic — builds systems that flag anomalies, missing information, and items requiring human review rather than silently producing incorrect outputs

Basic data analysis — reviews historical data, identifies patterns, and uses those patterns to inform AI mapping logic and business rules

Domain Knowledge

Activity-based budgeting or effort estimation experience in any sector — Jason confirmed this is highly portable across industries

Familiarity with statements of work or scope of work documents in a professional services or consulting context

Experience in regulated or compliance-heavy environments where data accuracy and auditability matter

Project portfolio management familiarity

Soft Skills

Comfortable with ambiguity — works with incomplete information, makes reasonable assumptions, and flags gaps rather than stalling

Fast learner — absorbs domain knowledge quickly from subject matter experts given the tight November 30th deadline

Detail oriented — budget errors have real financial consequences for clinical trials

Sustainability mindset — builds with handoff in mind from day one, documentation is a core deliverable not an afterthought

Proactive communicator — surfaces blockers early and keeps a small stakeholder group aligned without being asked
