Job description

We are seeking a Shipping Coordinator who will ensure that products are packaged, labeled, and shipped accurately and on time to meet customer requirements. Additionally, you will manage logistics, coordinate with carriers, maintain shipping records, and support inventory control which will ultimately ensure efficient delivery operations and contribute to the overall customer satisfaction and supply chain performance.  Work hours are Monday through Friday from 8 a.m. to 4:30 p.m. 


Job Responsibilities:

  • Schedule and organize outgoing shipments both international and domestic based on production schedules and customer orders
  • Select appropriate carriers and shipping methods to meet deadlines and cost targets
  • Prepare shipping documentation, generate packing lists, bills of lading, shipping labels, and export documents as needed
  • Ensure documentation complies with legal and company requirements both internationally and domestic
  • Collaborate with warehouse and production teams to verify order accuracy and inventory levels before shipping
  • Update inventory systems to reflect shipped goods
  • Liaise with freight carriers to arrange pickups, resolve delays, and monitor shipment progress
  • Track and trace shipments to ensure timely delivery and communicate status to relevant departments or customers
  • Ensure shipments meet all regulatory requirements, including hazardous material guidelines if applicable
  • Investigate and resolve shipping errors, damaged goods, or delivery issues and coordinate returns or replacements when needed
  • Work to optimize shipping costs through rate negotiation, carrier selection, and efficient scheduling and monitor shipping expenses and assist in budgeting
  • Provide shipment updates and delivery confirmations to customers or internal stakeholders and assist with resolving customer complaints related to shipping or delivery


Job Qualifications:

  • Must have a High School Diploma; Associate degree in Logistics, Supply Chain Management, Business, or a related field is preferred
  • Must have an understanding of shipping methods and be familiar with freight carriers and delivery processes
  • Knowledge of import/export regulations and customs documentation, especially U.S. Export Administration Regulations Guide and Export Commodity Classifications Schedule B guide
  • Must have experience using ERP systems for managing shipments and inventory and be familiar with Warehouse Management Systems and barcode scanning tools
  • Must have the ability to prepare and review bills of lading, packing lists, shipping labels, export documentation, and letters of credit
  • Knowledge of regulatory compliance (DOT, OSHA, hazardous materials handling) is needed
  • Must be proficient in Microsoft Excel and Word, FedEx Ship Manager, UPS WorldShip, and other shipping and freight portals
  • Must have basic math skills for calculating weights, dimensions, freight costs, and scheduling loads
  • Must be able to pay attention to detail for checking orders, labeling, and documentation accuracy and troubleshoot shipping delays, carrier issues, or packaging problems quickly and effectively
  • Must have knowledge of how shipping decisions affect broader supply chain performance and customer satisfaction
  • Must be able to monitor key performance indicators and analyze shipping data to identify trends, inefficiencies, or improvement opportunities
  • Must have strong communication, interpersonal, and organizational skills
  • Must be able to work closely with cross-functional teams to align shipping with production schedules and customer deadlines, build positive working relationships with internal departments and external logistics providers
  • Must have the ability to stay calm and professional when facing unexpected problems, tight deadlines, or upset customers and help defuse tension and keep communication productive
