Organization/Business Overview:

Cedar Cove Wealth Partners is an independent financial services firm of Thrivent Advisor Network. We help our clients build a financial strategy around what’s important to them. Because life isn’t just about making more, it’s about doing more with what you have.

Position Summary:

This position provides administrative support to the clients and team at Cedar Cove Wealth Partners. This role is critical to our client experience and requires a friendly, upbeat demeanor. The Client Coordinator supports the firm's daily operations and is employed by SBE, LLC.

This role is a part-time, in-person position that requires work on Monday (6-8 hours), Tuesday (6-8 hours) and one additional weekday (6-8 hours).


Position Roles/Responsibilities/Accountabilities:

Office Reception (50%)

  • Greet clients in person at our Bloomington office on Mondays & Tuesdays.
  • Inbound Communication: Answer, screen and triage phone calls and emails to the appropriate team members. Check and respond to phone messages. Maintain out of office phone message.
  • Monitor inventory and order office supplies, beverages, and hospitality items for visiting clients and Cedar Cove team members.
  • Processing of mail (incoming and outgoing), UPS and FedEx shipments on Mondays and Tuesdays.
  • Keep common areas clean and tidy. Keep the lobby area visually appealing and hospitable.
  • Coordinate conference room scheduling for external and internal meetings.
  • First point of contact for booking Wells Fargo Tower conference room space.
  • Coordinates scheduling for clients and third-party business partners that respond to meeting invitations by phone.
  • Assist with large-scale client paperwork scanning or photocopying projects as needed.
  • Serve as primary in-office support for staff working remotely.

Client Scheduling (50%)

  • Send out Calendly invitations to clients based on firm calendar. Follow-up with clients not responding in a timely manner.
  • Troubleshoot scheduling conflicts based on firm needs.
  • Send meeting reminders to clients not receiving them automatically through Calendly.
  • Link advisor Outlook appointments to CRM (Salesforce) when not happening automatically.

Other Responsibilities

  • Additional responsibilities may be assigned in accordance with licensure and business needs.


Position Qualifications

  • Ability to handle multiple tasks and maintain a high quality of work/client service while experiencing frequent interruptions
  • Previous client service, calling, and administrative experience highly desired
  • Previous Calendly experience highly desired
  • Strong technical computer aptitude and knowledge of business tools or ability to learn
  • Ability to maintain integrity of sensitive/confidential information
  • Ability to learn basic financial terminology and concepts
