Bilingual Administrative Assistant (Spanish)

Location: CFCS Central Office - 2121 Harrison Street, Suite 200 - Oakland, CA

We are looking for a Bilingual Administrative Assistant who is a highly organized, customer-focused professional to join our Customer Success & Collections Team. This role is ideal for someone who thrives on helping people, solving account-related concerns, and balancing administrative responsibilities in a fast-paced environment.

As the Bilingual Administrative Assistant is the first point of contact for patrons, you will provide exceptional service, assist with account inquiries, perform account research, and support collections efforts—all while ensuring a professional and compassionate customer experience.

Schedule

  • Days: Monday - Friday

  • Hours: 8:30am - 5pm

Responsibilities

  • Serve as first point of contact for incoming office calls

  • Conduct outgoing collections and follow-up calls

  • Prepare documents, spreadsheets, presentations, and correspondence

  • Review and analyze account activity/balances and clearly explain findings to patrons

  • Request supporting documentation when additional account verification is needed

  • Monitor stock, submit purchase orders, receive deliveries, and keep supply areas organized and cost-conscious

  • Sort/distribute incoming mail packages, prepare outgoing mail, and track deliveries as needed

  • Escalate unresolved or complex issues to leadership to ensure timely follow-up

  • Partner with internal teams and location staff when additional involvement is needed

  • Assist with onboarding tasks, creating training binders and ordering business cards/name tags

Qualifications

  • Must be bilingual - Spanish

  • Respond with professionalism and empathy

  • Experience with collections, accounts receivable, or account management preferred

  • Strong Administrative support experience

  • Light collections/accounting experience

  • Proficiency with Microsoft Office (Word, Excel, Outlook)

  • Strong customer service and communication skills

  • Detail-oriented with excellent organizational skills

  • Ability to multitask and prioritize in a fast-paced environment

  • Ability to work independently and collaboratively

  • Computer savvy - will train
