Summary
The Retail Operations Associate (ROA) is a key member of the Sales Operations Team, supporting the sales organization and new machine sales through both pre-sale and post-sale operational activities. The ROA supports multiple sales-ops workstreams, including new-sale finance administration, customer order-to-invoice execution, customer communication to close new machine deals, and ad hoc inventory administration.
This position follows a 4/10 schedule to support retail hours at Carolina Cat branches. The standard work week for the ROA will be Wednesday through Saturday. This is a hybrid role, with two days in the office and/or branch and two days working remotely. The expected days in office are Thursday and Saturday with remote work occurring Wednesday and Friday.
The Retail Operations Associate will report to the Director of Sales Operations.
Essential Functions
The ROA will operate in a variety of functions across the Sales Operations Team (other duties may also be assigned when necessary):
Invoicing Functions:
  • Invoices machine sales for Carolina Cat's Construction Division
  • Receives new and used equipment into Dealer Business System (DBS)
  • Matches acknowledgements to orders and updates shipping status
  • Produces documentations for Sales Reps (credit rents, sales analysis and back out/re-bills)
  • Creates pro-forma invoices when necessary.
  • Updates accounts payable with new machine information (book value, setup payment to CAT)
  • Enters accounting adjustments in Dealer Business System at time of invoice
  • Submits claims thru Cat Commercial Systems
  • Receives and reconciles merchandising credits

Machine Enrollment Functions:
  • Assists in the pre-delivery system enrollment of new machines by enrolling and managing machines in Caterpillar's Product Link & Conditional Monitoring systems.
  • Updates machine ownership information within CAT systems and communicates changes with necessary external suppliers.
  • Enrolls Travel Time & Mileage in DBS for new machine sales.

Finance Admin Functions:
  • Collect customer payments via check and wire transfer
  • Validate pricing and programs within the iQuote system and verify serial numbers for documentation packages
  • Utilize CAT's CapitalStream system to review/submit credit applications, input deal information, add merchandising, and generate finance docs
  • Review finance docs for accuracy, completeness, and compliance requirements
  • Support sales representatives by addressing customer inquiries and providing timely assistance

Retail Functions:
  • Greet and engage customers
  • Qualify customer needs and route appropriately
  • Provide basic product information and machine walk arounds
  • Capture and manage customer data when needed

In addition to the responsibilities outlined above, the Retail Operations Associate will adhere to all customer care standards, interact with sales teams and customers through email, phone, text, and face-to-face interactions, and support all other duties and responsibilities for the Sales Operations team based on business needs.

Education and/or Experience
  • High School or GED

  • Proficient in Microsoft Excel and experience operating in a ERP system.
  • Organizational and attention to detail attributes required.
  • Strong communication and interpersonal skills with the ability to collaborate across divisions, customers, and vendors.
