Full-time, Internship

Job description

Apprenticely is working with our company partner, Caddell Reynolds to add an AI Operations Intern to their team in Fort Smith, Arkansas!

Our Apprenticely Internship Program is a three-month program that places selected candidates with employers across Arkansas in IT positions to gain experience under the guidance of a professional mentor/IT support team. Internships are designed as an on-ramp to an IT career and can roll into full-time positions based on employer demand.

About Caddell Reynolds:

For more than 30 years, Caddell Reynolds has represented injured and disabled Arkansans in claims against insurance companies and federal agencies. The firm is investing in artificial intelligence to strengthen that work - deploying AI tools across the organization and modernizing its case management systems.

The AI Operations Intern will play a hands-on role in that effort: building practical workflows, developing fluency with tools such as ChatGPT and Claude, and helping convert large volumes of case information into material the team can act on quickly.

No law degree or coding background is required. Strong candidates will bring:

  • The initiative to work through ambiguous problems independently

  • Strong organizational skills, with an understanding that missed details can affect case deadlines

  • Clear, confident written communication

  • Genuine interest in AI tools and a willingness to develop expertise in them

  • Sound judgment and discretion with confidential client information

Experience with Google Workspace or Microsoft Office, exposure to a legal, medical, or insurance environment, or a demonstrated ability to manage multiple responsibilities simultaneously is a plus, though not required.

Responsibilities, Ideal Candidate Profiles and Qualifications
Responsibilities

The intern's central focus will be information distillation - reviewing large volumes of material, identifying what is relevant, and determining the appropriate next step or follow-up.

Representative responsibilities include:

  • Auditing and organizing the case management system to ensure files, deadlines, and client records are complete and accurate

  • Building AI-assisted workflows to process medical records, intake calls, and case documents, allowing attorneys to focus on casework

  • Drafting client updates and status communications for attorney review and approval

  • Documenting workflows and procedures to improve efficiency on future cases

  • Participating in intake and case review meetings and preparing follow-up summaries

  • Evaluating new AI tools and reporting findings and recommendations to the team

  • Developing simple dashboards to track case status and identify process bottlenecks

This is a supervised, non-legal support role. The intern will not practice law or provide legal advice, and will work under the direction of attorneys and staff. The intern will be entrusted with confidential client information from day one, and discretion is a core expectation of the role.

Ideal Candidate Profile

We are looking for candidates who have demonstrated the ability to perform under pressure - whether through athletics, business, prior work experience, or another setting requiring resilience and adaptability. Candidates who have taken on new challenges, relocated, led a team, or built trust quickly in an unfamiliar environment are encouraged to apply.

No specific degree is required. Strong candidates will demonstrate:

  • Initiative to approach ambiguous problems proactively

  • Strong organizational skills to manage multiple ongoing responsibilities without dropping details

  • The ability to write clearly and effectively on the first draft, including emails, briefs, and status updates

  • Comfort working with numbers, spreadsheets, and basic logical reasoning

  • A genuine interest in AI tools, paired with the discipline to develop real proficiency

  • Sound judgment regarding confidentiality and the maturity to safeguard sensitive information

  • The willingness to ask for help or flag issues before they become larger problems

Preferred, but not required: experience with Google Workspace or Microsoft Office, prior exposure to a legal, medical, or insurance setting, or a track record of successfully balancing school, work, and other commitments.

Qualifications
  • Strong problem-solving instincts and eagerness to learn quickly

  • Ability to perform in a fast-paced, deadline-driven, high-stakes environment

  • Excellent written and verbal communication skills

  • Basic analytical ability, including the capacity to interpret operational data

  • Familiarity with, or willingness to learn, case management or CRM platforms (e.g., Filevine, CASEpeer, Clio, Litify, Smokeball, HubSpot, or similar)

  • Genuine interest in legal technology, automation, and process improvement

  • Comfort using AI tools and large language models (ChatGPT, Claude, Gemini, or similar) to improve efficiency

  • A self-starter mindset, with the ability to build processes rather than wait for direction

  • Trustworthiness with confidential information and a strong commitment to client privacy

Additional Details:
  • Pay Range: $15/hr
  • Schedule: 40-hour week: typically 8 a.m. - 5 p.m. Monday-Friday
  • Length of Internship: 3 months with the potential to convert to a full-time opportunity based on employer demand
  • Location: Fort Smith, Arkansas OR Rogers, Arkansas
Our Must Haves:
  • Current Arkansas state resident
  • Ability to pass a standard background check
  • Ability to work 32-40 hours a week, during and following the three-month internship
  • Ability to work full-time in the United States without a current or future need for visa sponsorship
  • High curiosity and interest in learning new technologies and growing or starting your IT career
  • Technical aptitude exhibited through projects, experience, or online learning and the ability to communicate what you know
$15 - $15 an hour
How does the interview process work? Apprenticely will conduct an initial phone interview and assessment. Apprenticely will send selected resumes to companies that match the candidate's skills and interests. Our employer partners will decide who to interview and select the final candidates for the internship program.
