JOB SUMMARY:

We are seeking a dedicated and detail-oriented Treatment Care Coordinator with 3+ years of treatment planning experience.

This role will serve as the practice's treatment plan and insurance coverage expert and will primarily be responsible for ensuring all patients are provided explanations and education about proposed dental procedures and their associated costs. You will help our patients understand the importance of treatment, help them maximize their insurance coverage, and find a payment plan that will allow them to move ahead to get the smile of their dreams.

You will arrange for payment plans where authorized and will document and track all relevant information, including proposed and completed procedures, insurance statements, financial arrangements, and payments received.

You must already have or be willing to learn the same depth of dental knowledge as our clinical staff to confidently discuss treatment plans, insurance coverage, dental procedures both in person and over the phone. You will coordinate with the practitioner, the patient, and their insurance provider to determine estimated treatment costs based upon the proposed treatment plans, applicable lab fees, and benefits coverage where relevant, facilitated by the submission of predeterminations and calculations based upon the explanation benefits.

DUTIES:

  • Act as the primary point of contact for patients regarding treatment plans, appointments, and financial arrangements.
  • Coordinate treatment schedules and ensure timely communication between patients and dental providers.
  • Assist patients in understanding their treatment options, insurance coverage, and financial responsibilities.
  • Maintain accurate patient records, including treatment notes, billing information, and appointment history.
  • Educate patients on post-treatment care instructions and follow-up procedures.
  • Foster a welcoming environment that promotes patient comfort and confidence throughout their dental journey.
  • Educate patients and explain proposed treatment plans explaining benefits, costs, timelines, payment options, and all other required and relevant information (any treatment over $1,500).
  • Submit predeterminations with necessary x-rays and notes from dentists for all significant procedures and as requested by the patient.
  • Provide detailed and accurate explanation of benefits upon receipt from the insurance provider, ensuring patient maximums and services have been accounted for.
  • Contact insurance companies to obtain explanation or information.
  • Calculate final costs for proposed dental treatment, supplying patients with their estimated portion accounting for insurance coverage and lab fees where applicable.
  • In collaboration with the Office Manager and Dentist, develop financial arrangements for extensive treatment plans where authorized and following office policy and procedures.
  • Create, maintain, and update the required documentation and files about treatment plans, insurance statements, and financial arrangements.
  • Create regular reports to monitor case acceptances and follow-ups.
  • Accurately document all patient and insurance payments received.
  • Act as the organization's treatment plan and insurance coverage expert to ensure patient comprehension, answer inquiries, and resolve conflicts as they arise.
  • Ensure adherence to the practice's collection protocols
  • Strong knowledge of dental terminology and dental procedures.
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
  • Experience with dental office operations and dental procedures is a requirement.
  • Effective communication skills to clearly convey information to patients and team members.
  • Ability to maintain confidentiality and adhere to HIPPA requirements.

REQUIREMENTS:

  • Required 3+ years experience as a Treatment Care Coordinator in a dental office.
  • Previous experience in practice management software (i.e., Carestack, Dentrix Ascend, Curve Dental) is considered an asset.
  • Strong knowledge of dental codes, terminology, and dental procedures.
  • Ability to read, understand, interpret, and explain treatment plans, insurance forms, and explanation of benefits.
  • Able to write correspondence and letters to patients and other dental professionals.
  • Friendly and professional demeanor with strong interpersonal skills.
  • Strong written and verbal skills to communicate with all levels of the organization and clientele.
