Job description

Job Overview:
The New Car Sales Assistant acts as assistant to New Car Sales Management by handling day to day administrative tasks, crucial for business operations. Additionally, creates value through promoting efficiencies within the New Car Sales department and facilities synergy between all business units.
Key Responsibilities:
  • Assist New Car Management Team Daily
  • Handle, Complete or Take On any work-related requests, tasks or projects requested/given by Management Team
  • Responsible for Dealer Swaps inclusive of coordinating between dealers, preparing documentation required by accounting dept, dispatching truckers or our drivers to pick up/drop off the swapped vehicle(s). Tracking Checks, MSO and incoming drivers/transport companies for safe exchanges.
  • Opening RO's for New Car Dept Vehicles (Showroom Display, SPOT, Test Drive, Deliveries and/or for any Parts/Accessories needed)
  • Inputting "Delivery Info" (Customer, Vehicle, Date/Times, etc) on shared sheets
  • Coordinating work needed between sales & service (body shop, parts, detail, NYSI, accessories, etc)
  • Keeping all showrooms & spot list organized with desired show cars
  • Maintaining Test Drive Line with needed models and mileage updates
  • Assigning Monthly lease/finance portfolio to CA's
  • Reassigning our portfolio from orphans in AMM, Momentum and Infobahn
  • Helping with building additional allocation and/or RDR vehicles when needed
  • Maintaining daily log of all received vehicles from SC and PJ and Bill of Ladings
  • Sending out daily received vehicle list
  • Full control of inventory between all locations (showrooms, multiple parking garages) and tracking daily for movements
  • Responsible for making sure the "Inventory/Lot Management" LOG is kept accurate for all "on the ground" inventory including accurate totals of occupied/free spaces, exact locations by utilizing MDL and communication with supporting staff & drivers.
  • Maintaining free spaces at 38th street garage used for RECEIVING new inventory to accommodate received vehicles daily by selecting/dispatching cars to be moved to other locations with drivers.
