Job description

Cardiovascular Logistics (CVL), is a physician-owned, physician-led multi-entity cardiovascular healthcare platform enabling top-tier practices to grow in a collaborative environment that's firmly focused on advancing cardiovascular medicine and improving patient care. The Project Manager, a highly visible operational position, will support this mission by designing and implementing scalable tracking tools, governance cadences and execution frameworks that ensure strategic initiatives remain aligned and on track across Operations, Finance, IT and Revenue Cycle. Applicants in the Nashville, TN area or affiliate practice locations are encouraged to apply, otherwise must be willing to relocate to Nashville area.
KEY RESPONSIBILITIES:
  • Enterprise Integration & Standardization Tracker - Build and maintain a single source of truth for all enterprise and affiliate integration initiatives-timelines, owners, milestones, risks, and dependencies. Translate raw updates into a clean weekly executive brief the COO can hand to the board.
  • AthenaOne Affiliate Rollout Program - Develop a repeatable implementation playbook and Smartsheet template for affiliate EHR rollouts. Own readiness, training, go-live, and post-go-live stabilization tracking across sites.
  • Operating KPI Cadence & Reporting - Coordinate KPI input readiness, quality control, and narrative across affiliates. Ensure affiliate monthly operating report (MOR) process hits on time with clear variance commentary and action-plan tracking.
  • Capital Approval & Purchasing Process Rollout - Drive rollout of standardized capital/purchasing workflows, forms, and approvals. Track adoption, surface exceptions, and close the loop.
  • Run recurring execution cadences: agendas, meeting facilitation, decision logs, action items, and follow-up to closure across corporate and affiliate teams.
  • Build and maintain project plans (scope, timeline, milestones, dependencies, and resource assumptions) in Smartsheet.
  • Maintain RAID logs (Risks, Assumptions, Issues, Dependencies) and escalate blockers with recommended options-not just flags.
  • Produce concise status reports, dashboards, and executive-ready updates suitable for weekly and monthly leadership review.
  • Keep project documentation tight and usable: charters, SOPs, workflow maps, RACI matrices, comms plans, and training plans.
  • Build strong working relationships across four states and multiple service lines; drive adoption and sustain standard work.
  • AI-Enabled Expectations (Required) - Use generative AI tools daily to accelerate drafting, synthesis, and structured outputs, then apply professional judgment t to finalize deliverables. Use AI to draft and refine project plans, SOPs, meeting syntheses, stakeholder communications, and executive updates.
  • Design, test, and iterate prompts; create and maintain a reusable prompt library for recurring PM workflows (status updates, risk logs, requirements gathering, SOP templates, narrative reporting).
  • Always Operate within privacy and compliance guardrails: no PHI in unapproved tools; follow CVL policies and vendor BAAs as applicable.

QUALIFICATIONS:
  • Bachelor's degree required, or equivalent experience.
  • 2-4 years in project management, operations, implementation, or analytics-end-to-end ownership of real deliverables, not just support.
  • Smartsheet proficiency required (or equivalent structured PM tooling with demonstrated competence).
  • Strong command of Microsoft 365 (Excel, PowerPoint, Word) and collaboration tools (Teams/SharePoint).
  • Clear, concise written communication-able to produce executive ready one-pagers without extensive rewrites.
  • Strong organization and follow-through; able to manage multiple workstreams, stakeholders, and deadlines simultaneously.
  • Demonstrated AI prompting ability-
  • PREFERRED QUALIFICATIONS:
  • Private equity backed physician practice management experience.
  • Healthcare operations, practice management, IT implementation, and/or revenue cycle experience.
  • PMP, CAPM, Lean Six Sigma, or similar certification (PMP exam sponsorship available if not yet certified).
  • Experience building dashboards, trackers, and process documentation that improved operational reliability.
  • Multi-site or multi-entity operations exposure.

  • Starting Base salary: $75,000 (commensurate with experience)
  • Target bonus: 5-10% annual, tied to project delivery and operational impact (could put some of this as specific project completion metrics and not annual)
  • PMP sponsorship: Exam fees and study time covered (if applicable)
  • Benefits: [Health/dental/vision, PTO, 401(k)
