Senior Accountant – Manufacturing

Assurance Laboratories, LLC (ASL)  •  Albuquerque, NM  •  Full-Time

About Us

Assurance Laboratories, LLC (ASL) and its affiliated entity SWC/SWCB are Albuquerque-based cannabis manufacturing and extraction companies operating in a regulated, fast-moving industry. We produce and distribute cannabis products to licensed dispensaries throughout New Mexico. Our finance function sits at the intersection of manufacturing, sales, and compliance — and we’re looking for a sharp, hands-on Senior Accountant who thrives in that environment.

Position Summary

The Senior Accountant will own the day-to-day accounting operations across two related entities, with primary responsibility for maintaining the integrity of our QuickBooks Desktop environment, managing multi-source financial data reconciliation, and producing timely, accurate management reporting. This is not a passive bookkeeping role — you will be expected to identify coding errors, build analytical tools, leverage AI productivity tools, and partner directly with ownership on financial planning and cash flow management.

Key Responsibilities

AI & Large Language Model (LLM) Tools

•     Claude (Anthropic) — Primary AI Platform: active working knowledge of Claude Chat for financial analysis, reporting, and document drafting; experience with Claude Cowork for multi-step research and complex task automation; familiarity with Claude Code for scripting and data workflow automation is a strong plus

•     Google Gemini — Corporate Account: proficiency with Gemini for Workspace (Docs, Sheets, Gmail integration) leveraging ASL’s corporate Google account; ability to apply Gemini to accelerate financial summaries, correspondence, and data review

•     Demonstrated ability to use AI tools to improve accounting productivity — drafting reports, analyzing financial data, automating repetitive reconciliation tasks, and generating management-ready summaries

•     Comfortable evaluating AI-generated output critically, validating numbers independently, and knowing when human judgment must override a model’s suggestion

•     Stays current with evolving AI capabilities relevant to finance and accounting workflows

General Ledger & QuickBooks Management

•     Maintain and administer QuickBooks Desktop Diamond Enterprise (currently v23) hosted in a cloud environment

•     Review and correct miscoded transactions across expense accounts, with particular focus on COGS vs. operating expense accuracy

•     Manage chart of accounts and ensure consistent coding across entities (ASL and SWCB)

•     Perform month-end and year-end close procedures, including journal entries and account reconciliations

Manufacturing & COGS Accounting

•     Understand and maintain bill of materials (BOM) structures for manufactured and assembled items in QuickBooks

•     Track raw material costs and reconcile them to COGS in QuickBooks

•     Coordinate labor cost tracking with operations (labor is tracked outside QB in external spreadsheets) and ensure proper classification

•     Support inventory costing and variance analysis for cannabis extraction and manufacturing workflows

Payroll Processing

•     Process semi-monthly or bi-weekly payroll for a workforce of 20+ employees across ASL and SWCB entities

•     Ensure accurate allocation of payroll costs between entities and departments, including proper classification of direct labor vs. indirect labor under IRC 280E

•     Reconcile payroll registers to general ledger entries and maintain supporting documentation

•     Coordinate with payroll provider and/or HR on new hires, terminations, garnishments, and benefit deductions

•     Prepare and file payroll tax returns (federal 941, state withholding, unemployment) and ensure timely tax deposits

BioTrack Inventory Reconciliation

•     Serve as the accounting liaison for New Mexico’s state-mandated BioTrack cannabis inventory monitoring system

•     Reconcile BioTrack inventory records to QuickBooks on-hand quantities on a regular cycle, identifying and resolving variances

•     Maintain accurate cost records for all tracked inventory categories (raw material, WIP, finished goods) consistent with BioTrack plant-to-sale data

•     Coordinate with operations staff to ensure all transfers, adjustments, and destructions are properly recorded in both BioTrack and QuickBooks

•     Prepare inventory reconciliation documentation for regulatory audits and tax preparation

Southwest Capital Bank – Cannabis-Specific Reporting

•     Prepare and deliver periodic financial reporting packages required by Southwest Capital Bank under cannabis business banking compliance standards

•     Maintain source of funds documentation, cash-to-deposit reconciliations, and business activity reports as required by the bank’s BSA/AML cannabis program

•     Respond to bank information requests and ensure reporting deadlines are consistently met

•     Coordinate with ownership and external CPA to ensure bank-required financial statements, tax returns, and compliance certifications are current

•     Monitor account covenant requirements and flag any potential issues to ownership in advance

Multi-Entity & Multi-Source Reconciliation

•     Reconcile financial activity across multiple payment sources: Chase Visa corporate cards (multiple cardholders), American Express, and cash/ACH wire payments

•     Cross-reference bank and credit card statements against QuickBooks transaction detail to identify unposted or miscoded charges

•     Maintain clean separation of entity-level activity between ASL and SWCB

Cash Flow & Financial Planning

•     Prepare and maintain rolling 13-week cash flow projections grounded in recent actual results

•     Update projections weekly, flagging material variances and cash timing risks to ownership

•     Assist with development of longer-horizon (12-month) cash flow models

Management Reporting & Analysis

•     Produce monthly P&L reports with multi-source payment detail (cash, Chase CC, Amex)

•     Prepare vendor-level accounts payable aging and analysis

•     Support gross margin analysis by product line and sales rep, integrating QuickBooks sales data with external reporting tools

•     Assist with customer deposit reconciliation and accounts receivable management

Compliance & Tax Support

•     Maintain awareness of IRC Section 280E implications for cannabis businesses and ensure expense classification supports the company’s tax strategy

•     Support external CPA with year-end tax preparation, including documentation of COGS and operating expense detail

•     Maintain records in compliance with New Mexico Cannabis Regulation Act and MRD licensing requirements

Required Qualifications

•     Bachelor’s degree in Accounting, Finance, or related field

•     5+ years of accounting experience, with at least 2 years in a manufacturing or production environment

•     Active working experience with AI/LLM tools — specifically Claude (Chat and Cowork) and Google Gemini; ability to apply these tools practically to accounting and finance workflows

•     Hands-on expertise with QuickBooks Desktop Enterprise (manufacturing/inventory edition strongly preferred)

•     Demonstrated experience with bill of materials, inventory assemblies, and manufacturing COGS in QuickBooks

•     Payroll processing experience for 20+ employees, including multi-entity allocation and payroll tax filings

•     Strong Excel skills — pivot tables, VLOOKUP/XLOOKUP, and formula-driven financial models

•     Experience reconciling multiple bank accounts and credit card feeds to the general ledger

•     Comfortable working across two or more related legal entities

Preferred Qualifications

•     Experience with Claude Code or similar AI coding assistants for scripting financial workflows

•     Experience in cannabis, nutraceutical, pharmaceutical, or other regulated manufacturing
