Position Summary

The Operations Associate is a full-time salaried professional role designed to develop operational proficiency across store operations, procurement, inventory control, and warehouse functions at Barber DME Supply Group. 


This position begins with a structured rotational onboarding program, with approximately six months spent in each operational department. The purpose of the rotation is to develop a comprehensive understanding of Barber DME’s full operational workflow, including patient intake, store operations, purchasing, inventory management, and order fulfillment. 


This role requires professional flexibility and a commitment to operational excellence. The Operations Associate must be willing to work occasional evenings, weekends, and extended hours based on business needs. Periodic travel between store locations, warehouse facilities, or operational sites may be required. As a salaried position, this role is expected to support operational demands as necessary to ensure continuity of service and performance. 


The Operations Associate supports daily operational execution, ensures compliance with company policies and regulatory standards, contributes to process improvement initiatives, and delivers a high standard of service to patients and internal teams. This role is structured as an entry level professional position with a clearly defined growth path based on performance, accountability, and demonstrated leadership potential. 


During the first twelve to twenty-four months, the Operations Associate will rotate through the following areas to gain cross functional experience and operational depth: 

Retail and Store Operations 

Procurement and Vendor Coordination 

Inventory and Warehouse Operations 


Core Responsibilities 

Store and Patient Operations 

Support daily retail and patient service operations 

Assist patients and caregivers with product selection and order processing 

Accurately process payments, deposits, and required documentation 

Maintain store presentation, cleanliness, and safety standards 


Resolve customer inquiries and escalate complex concerns appropriately Assist with opening and closing procedures as needed 

Procurement and Vendor Coordination 

Support purchasing activities and monitor supply levels 

Track purchase orders and follow up with vendors to ensure timely fulfillment 

Maintain accurate procurement records and documentation 

Coordinate with store and warehouse teams to prevent stock disruptions 

Inventory and Warehouse Operations 

Receive, inspect, label, and document incoming inventory 
Monitor inventory levels and report discrepancies 

Assist with cycle counts and internal inventory audits 

Prepare, verify, and stage orders for pickup or delivery 

Ensure accurate data entry within inventory and operational systems 


Compliance and Documentation 

Maintain HIPAA compliance and protect patient confidentiality 

Ensure accurate and timely documentation of patient interactions and transactions 

Support internal audits and compliance reviews 

Follow infection control, safety guidelines, and regulatory standards 

Operational Support and Continuous Improvement 

Assist in identifying workflow improvement opportunities 

Support implementation of operational initiatives and new processes 

Participate in emergency preparedness and business continuity procedures 

Contribute to maintaining an organized, efficient, and compliant work environment
