Job description

The Sales Operations Specialist works closely with Sales, Program Management, and internal departments to support the sales operations process and deliver exceptional customer service. This role serves as a key liaison across cross-functional teams, ensuring effective communication, timely follow-up, accurate order processing, and overall customer satisfaction.
The Sales Operations Specialist will coordinate with Sales, Program Management, Purchasing, Finance & Accounting, and Production teams to support sales activities from quote preparation through order fulfillment and invoicing.
Key Responsibilities:
Sales Operations & Order Management
    • Coordinate and support all aspects of the sales operations process, from quote preparation through order processing and fulfillment.
    • Prepare and coordinate customer quotes, proposals, and RFP responses.
    • Expedite quote approvals to ensure timely sales closures.
    • Enter customer orders into the management system and verify product information, quotes, payment terms, and other order details for accuracy.
    • Process and track customer orders, ensuring timely follow-up and resolution of issues.
    • Consolidate account records and maintain accurate customer and sales order information in the management system.
    • Gather, prepare, and maintain reports related to sales orders and account activities.
    • Support invoice processing and coordinate with Finance & Accounting as needed.
    • Manage general sales and administrative activities to support the Sales team.

Cross-Functional Coordination
    • Serve as a key liaison between Sales, Program Management, Purchasing, Finance & Accounting, Production, and other internal departments.
    • Facilitate effective communication and ensure relevant stakeholders receive timely project and order updates.
    • Provide project and order status updates and coordinate necessary follow-ups with internal teams and customers.
    • Meet with leadership daily to review orders, quotes, and outstanding sales activities at the end of each business day.
    • Coordinate cross-functional activities to ensure customer requirements and sales commitments are met.

Risk & Performance Management
    • Identify, assess, and monitor risks associated with program and sales activities.
    • Coordinate and implement appropriate actions to mitigate potential risks and prevent delays.
    • Evaluate program and operational performance and identify opportunities for improvement.
    • Present findings, insights, and recommendations to management to support continuous improvement and operational effectiveness.

Account & Market Support
    • Conduct research on new accounts and prospective clients.
    • Maintain accurate and up-to-date account information and support the Sales team with customer and account-related research.
    • Assist with projects and initiatives that support business growth and sales operations objectives.

Other Responsibilities
    • Take on additional responsibilities and special projects as assigned to support business and team objectives.

Requirements
  • Bachelor's degree, or 1-2 years of working experience in related fields.Exceptional communication and interpersonal skills.
  • Ability to organize, prioritize, multitask, be flexible and meet requirements under multiple deadlines.
  • Customer-oriented
  • Experience working with clients
  • Proficiency in Microsoft Office.
  • Knowledge of information technology (IT) or computer hardware.
