Job description

Greenwood Development is seeking a highly organized, proactive, and service-oriented professional to support the daily operations and overall performance of The Greenwood Building. This position is heavily focused on tenant relations, leasing coordination, operational support, vendor management, and administrative oversight to ensure a professional, responsive, and high-quality tenant experience.
The ideal candidate is detail-oriented, professional, adaptable, and committed to operational excellence and customer service.
Key Responsibilities
Tenant Relations & Client Service
  • Serve as the primary point of contact for tenant communication, service needs, and operational support
  • Maintain proactive and professional communication regarding building operations, disruptions, and expectations
  • Support move-in and move-out processes to ensure a smooth tenant experience
  • Address tenant concerns promptly and follow issues through to resolution

Commercial Leasing Support
  • Assist with leasing activity, including tenant tours and property showings
  • Prepare Letters of Intent, lease drafts, renewals, and amendments
  • Coordinate lease execution, onboarding, and required documentation
  • Support tenant retention initiatives and renewal planning
  • Partner with leadership to ensure accurate lease setup and billing coordination

Financial Oversight & Administrative Support
  • Assist with monitoring operating performance and expenses against budget expectations
  • Oversee Accounts Receivable processes, including tenant ledger review, delinquency follow-up, and coordination with accounting
  • Support financial reporting accuracy and documentation integrity
  • Assist with revenue forecasting and operational planning initiatives

Vendor Coordination & Property Operations
  • Coordinate with vendors and service providers to ensure timely and satisfactory performance
  • Manage vendor expectations, service follow-up, and contract coordination
  • Support bid solicitation and proposal evaluation processes
  • Assist with day-to-day operational needs impacting tenant experience and building performance
  • Collaborate closely with facilities leadership regarding maintenance coordination and building systems needs

Systems, Documentation & Office Coordination
  • Maintain organized and accurate digital files, records, and compliance documentation
  • Support workflow improvement initiatives and operational process development
  • Utilize systems such as Yardi, Microsoft Teams, and Microsoft Office Suite
  • Coordinate updates to directories, signage, suite identification, and building materials
  • Prepare tenant communication materials, notices, newsletters, and operational updates
  • Assist with inspections, operational readiness reviews, and documentation follow-up
  • Support mail handling, office coordination, and general administrative functions related to property management

Requirements
  • Prior experience in commercial property management, leasing coordination, real estate operations, or a related field preferred
  • Strong understanding of tenant relations, leasing processes, and property operations
  • Experience supporting budgets, financial reporting, and accounts receivable coordination
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • Excellent written and verbal communication skills
  • Strong problem-solving ability and professional judgment
  • High attention to detail and documentation accuracy
  • Proficiency with Microsoft Office, Microsoft Teams, Yardi (or similar property management software), and digital workflow systems
  • Demonstrated reliability, accountability, professionalism, and strong work ethic
  • Ability to work collaboratively with leadership, facilities teams, vendors, and tenants
