Maintenance Parts Coordinator

Location: Stayton, OR
Department: Maintenance
Reports To: Maintenance Manager
Shift: TBD

Position Overview

The Maintenance Parts Coordinator is responsible for managing maintenance inventory, parts procurement, and storeroom operations to support equipment reliability and uptime. This role ensures maintenance technicians have the necessary parts, materials, and supplies available to complete preventive and corrective maintenance activities efficiently. The position works closely with Maintenance, Purchasing, Vendors, and Operations to maintain accurate inventory levels and control maintenance-related spending.

Primary Responsibilities - Parts & Inventory

  • Maintain inventory accuracy for maintenance spare parts, consumables, and critical equipment components.
  • Receive, inspect, and stock incoming maintenance materials and supplies.
  • Issue parts and materials to maintenance personnel while maintaining accurate transaction records.
  • Perform cycle counts and physical inventories to ensure inventory accuracy.
  • Identify and maintain appropriate min/max inventory levels.
  • Research and source replacement parts for maintenance repairs and projects.
  • Track critical spare parts and ensure availability for high-priority equipment.
  • Organize and maintain storeroom locations using established 5S standards.
  • Ensure proper labeling and identification of stocked materials.
  • Monitor obsolete, damaged, or excess inventory and recommend disposition.

Purchasing & Vendor Coordination

  • Create and manage purchase requisitions and purchase orders as required.
  • Obtain pricing and lead time information from vendors.
  • Coordinate delivery schedules to support maintenance needs.
  • Maintain vendor relationships and assist in identifying cost-saving opportunities.
  • Expedite critical orders to minimize equipment downtime.
  • Maintain records of vendor performance and part availability.

CMMS & Documentation

  • Maintain accurate parts records within the CMMS.
  • Create and update parts descriptions, locations, and inventory quantities.
  • Assist with asset documentation and equipment bill of materials (BOMs).
  • Support preventive maintenance programs by ensuring required parts are available.
  • Generate inventory and purchasing reports as requested.

Safety & Compliance

  • Follow all company safety policies and procedures.
  • Maintain safe storage of maintenance materials and chemicals.
  • Support regulatory and environmental compliance requirements.
  • Participate in safety audits and continuous improvement initiatives.

Required Knowledge, Skills, and Abilities

  • Strong organizational and inventory management skills.
  • Basic mechanical knowledge of industrial maintenance equipment and components.
  • Ability to read equipment manuals, parts breakdowns, and technical documentation.
  • Experience with computerized inventory systems or CMMS software.
  • Proficiency with Microsoft Office applications, particularly Excel.
  • Strong communication and customer service skills.
  • Ability to prioritize work in a fast-paced manufacturing environment.
  • Attention to detail and accuracy in recordkeeping.

Preferred Qualifications

  • Previous maintenance storeroom, parts coordinator, or inventory control experience.
  • Experience with CMMS systems.
  • Forklift certification or ability to obtain certification.
  • Experience in manufacturing or industrial maintenance environments.

Physical Requirements

  • Frequently lift and carry materials up to 50 pounds.
  • Stand, walk, bend, reach, and climb throughout the workday.
  • Operate forklifts, pallet jacks, and other material handling equipment as required.
  • Work in manufacturing and warehouse environments with varying temperatures and noise levels.

  • CMMS parts accuracy.
